We are seeking an experienced Operations Administrator to join our team at Great Bear. As an Operations Administrator, you will play a key role in supporting the day-to-day site operations, ensuring the smooth running of our facilities, and maintaining a safe and healthy working environment.

Key Responsibilities
  • Monitor and report on health and safety incidents, ensuring comprehensive reporting and actioning.
  • Collate and issue monthly site health and safety check information, tracking actions and follow-ups.
  • Take accurate minutes of monthly health and safety meetings, ensuring timely follow-up on actions.
  • Book contractors for remedial works, communicating with site teams accordingly.
  • Issue permits to work as required, ensuring compliance with site procedures.
  • Manage the site's contractor service and inspection schedule, requesting quotes for site repairs.
  • Schedule BRC internal audits, communicating with site teams on progress.
  • Track and manage work requisitions, ensuring timely completion of internal planned works.
  • Manage site post, including inbound and outbound mail.
  • Coordinate meeting rooms and catering requirements, ensuring a smooth and efficient experience.
  • Purchase site supplies and materials in a cost-effective manner, ensuring compliance with company procedures.
  • Manage site lockers and coffee fob allocation, ensuring a secure and convenient experience for colleagues.
  • Organize hotel and transport arrangements, ensuring timely and efficient travel.
  • Provide support with banking and other duties as required by the management team.
Requirements
  • Experience working in an administrative team in a logistics or warehouse environment.
  • Excellent communication skills, with the ability to interact positively and clearly with colleagues and external stakeholders.
  • Strong team player, demonstrating loyalty and commitment to the organization and team members.
  • Professional, approachable, and helpful, ensuring the smooth running of general operations.
  • Knowledge of company procedures and compliance, actively demonstrating adherence to policies and procedures.
  • Ability to plan, organize, and prioritize work to deadlines, with exceptional attention to detail.
  • Develops and drives best practice in all aspects of performance, with strong Microsoft Office skills.
