Job Title: Operations Administrator

Join Great Bear as an Operations Administrator and play a vital role in supporting the day-to-day site operations. As a key member of our team, you will be responsible for ensuring the smooth running of our site, facilities, and compliance activities.

Key Responsibilities:
  • Monitor and report on health and safety incidents, ensuring comprehensive documentation and follow-up actions.
  • Collate and issue monthly site health and safety check information, tracking progress and implementing actions.
  • Take accurate minutes of monthly health and safety meetings, following up on actions and ensuring timely completion.
  • Coordinate contractor bookings for remedial works, communicating with site teams and stakeholders.
  • Issue permits to work as required, ensuring compliance with site procedures.
  • Manage the site's diary for contractor services and inspections, ensuring timely scheduling and follow-up.
  • Request quotes for site repairs, sourcing cost-effective solutions.
  • Schedule internal audits and communicate with site teams, ensuring seamless execution.
  • Track and manage work requisitions, ensuring timely completion and follow-up.
  • Manage site post, including inbound and outbound mail.
  • Coordinate meeting rooms and catering requirements, ensuring a seamless experience for site teams.
  • Purchase site supplies and materials in a cost-effective manner, supporting site operations.
  • Manage site lockers and coffee fob allocation, ensuring a secure and convenient experience for colleagues.
  • Organize hotel and transport arrangements, supporting site teams on the move.
  • Provide banking support as required, ensuring seamless financial operations.
Requirements:
  • Experience working in an administrative team in a logistics or warehouse environment.
  • Excellent communication skills, with the ability to engage with colleagues and external stakeholders.
  • Strong team player, demonstrating loyalty and commitment to the organization and team members.
  • Professional, approachable, and helpful, ensuring a smooth operation.
  • Knowledge of company procedures and compliance, actively demonstrating adherence.
  • Ability to plan, organize, and prioritize work to deadlines, ensuring timely completion.
  • Exceptional attention to detail, driving best practice in all aspects of performance.
  • Strong Microsoft Office skills, with the ability to adapt to new tools and systems.
