About the Role

The Order Management Coordinator plays a vital role in the Supply Chain Department, ensuring the effective management and shipment of sales orders to meet internal and external customer expectations.

This position is responsible for controlling the company order book and shipping requirements, reporting on risks and potential delays.

The Order Management Coordinator will manage clean sales orders, ensuring they are despatched on time, in full, and to the customer's specification.

Key responsibilities include communicating any delays to the sales team/internal customers in a timely and efficient manner, detailing actions and resolution.

The Order Management Coordinator will accurately process outbound deliveries, control and track sales orders and customer shipments, and identify any inefficiencies and introduce process improvements.

This role requires a daily review of the current order book to ensure delivery dates of customer orders are met and to proactively inform the Sales Department of any issues.

The Order Management Coordinator will ensure sales orders are despatched and invoiced, track the Order Book value daily, and On Time Delivery.

This position also involves handling bottleneck situations together with Sales, prioritizing orders, and reporting to the Department Manager and Supply Chain Team.

The Order Management Coordinator will track and monitor freight spend (both external and internal), assist and evaluate needs with shipping points, services, weights, and freight permits, and other information needed to transport goods.

This role also involves initiating, resolving, and documenting tracer enquiries when requested, notifying consignees of shipment arrival, and coordinating shipment information to other offices and/or agents.

The Order Management Coordinator will arrange the movement of freight to domestic and international customers, update SAP/FIS with transport data, and track urgent shipments through to delivery to the customer and reporting to the Department Manager on completion.

This position requires a high level of accuracy and attention to detail, ensuring correct shipments and appropriate paperwork are given to Drivers, particularly upon departure.

The Order Management Coordinator will action any customer enquiries/queries, providing relevant feedback to the customer in a timely manner.

This role also involves managing the transport of dangerous goods to all destinations, ensuring the correct paperwork, labelling, etc. is actioned.

The Order Management Coordinator will ensure the accuracy of all sales orders and shipping documents through strict adherence to Standard Operating Procedures (SOS).

This position requires the completion of monthly, weekly, and daily management reports linked to department KPI, detailing all issues and corrective actions required.

The Order Management Coordinator will support with or lead special projects at the request of the Department Manager.

This role also involves ensuring effective security processes are followed, particularly with regard to driver and visitor sign-in.
