About the Role

We are seeking a highly skilled and organized individual to join our Supply Chain Department as an Order Management Coordinator. This role is responsible for facilitating the effective management and shipment of sales orders to meet internal and external customer expectations.

Main Job Objectives
  • Control and track sales orders and customer shipments to ensure timely and accurate delivery.
  • Manage clean sales orders, ensuring they are despatched on time, in full, and to the customer's specification.
  • Communicate any delays to the sales team and internal customers in a timely and efficient manner, detailing actions and resolution.
  • Process outbound deliveries accurately and efficiently.
  • Identify and implement process improvements to increase efficiency and reduce costs.
  • Perform daily reviews of the current order book to ensure delivery dates of customer orders are met and proactively inform the Sales Department of any issues.
  • Ensure sales orders are despatched and invoiced accurately.
  • Track and monitor freight spend, both external and internal.
  • Assist and evaluate needs with shipping points, services, weights, and freight permits to transport goods.
  • Initiate, resolve, and document tracer enquiries when requested.
  • Notify consignees of shipment arrival and coordinate shipment information to other offices and/or agents.
  • Arrange the movement of freight to domestic and international customers, updating SAP/FIS with transport data.
  • Track urgent shipments through to delivery to the customer and report to the Department Manager on completion.
  • Spot check packing lists and invoices for errors and correct these errors to minimize impact.
  • Use the Warehouse Management System to prepare accurate customs paperwork for outbound freight.
  • Ensure correct shipments and paperwork are given to drivers upon departure.
  • Action customer enquiries and queries, providing relevant feedback in a timely manner.
  • Manage the transport of dangerous goods to all destinations, ensuring correct paperwork and labelling.
  • Ensure the accuracy of all sales orders and shipping documents through strict adherence to Standard Operating Procedures.
  • Complete monthly, weekly, and daily management reports detailing issues and corrective actions required.
  • Support special projects at the request of the Department Manager.

Reporting Relationships

This role reports to the Warehouse and Distribution Manager.

Size of Team/Environment

This role is part of a team of 4, responsible for all aspects of Order Management, with full cross-training adopted on a regular basis to cover holidays, etc. The working environment is a shared office environment.Role Requirements

The ideal candidate will have:

  • Ideally qualified to Business Administration-Level 4 or equivalent and/or have equivalent experience.
  • Demonstrable previous customer service, shipping, and/or distribution experience is essential.
  • Data entry relating to customer orders.
  • AAD experience.
  • IATA experience would be desirable.
  • Proven track record of achievement in a similar position.
  • Previous experience of direct contact and cost negotiations relating to transport providers.
  • Experience with import and export compliance is highly desirable.
Skills, Special Competencies

The ideal candidate will possess:

  • Proven understanding of shipping management.
  • Knowledge of dangerous goods transportation processes and regulations.
  • Report writing.
  • Working knowledge of SAP would be an advantage.
  • Excel report writing skills are essential.
  • Effective written and oral communication skills.
  • Computer literate and capable of data input.
  • Highly self-motivated.
  • Able to work effectively as an individual and as part of a team.
  • Dedicated to continuous improvement.
