Job Summary
We are seeking a highly motivated and organized Warehouse Coordinator to join our Supply Chain Department. As a key member of our team, you will be responsible for facilitating the effective management and shipment of sales orders to meet internal and external customer expectations.
Main Responsibilities
- Control and manage the company's order book and shipping requirements, identifying and reporting on potential risks and delays.
- Manage clean sales orders, ensuring timely and accurate despatch, and communicating any delays to the sales team and internal customers.
- Process outbound deliveries accurately and efficiently, and track sales orders and customer shipments.
- Identify and implement process improvements to optimize efficiency and reduce costs.
- Perform daily reviews of the order book to ensure delivery dates are met, and proactively inform the Sales Department of any issues.
- Ensure sales orders are despatched and invoiced accurately and on time.
- Monitor and track freight spend, and assist with shipping point management, services, weights, and freight permits.
- Initiate, resolve, and document tracer enquiries as required.
- Notify consignees of shipment arrival and coordinate shipment information with other offices and agents.
- Arrange the movement of freight to domestic and international customers, and update SAP/FIS with transport data.
- Track urgent shipments to delivery and report to the Department Manager on completion.
- Verify packing lists, invoices, and other documentation for errors and correct them to minimize impact.
- Use the Warehouse Management System to prepare accurate customs paperwork for outbound freight.
- Ensure correct shipments and paperwork are provided to drivers upon departure.
- Action customer enquiries and queries, providing relevant feedback in a timely manner.
- Manage the transport of dangerous goods to all destinations, ensuring correct paperwork and labeling.
- Ensure accuracy of all sales orders and shipping documents through adherence to Standard Operating Procedures.
- Complete management reports on department KPIs, detailing issues and corrective actions required.
- Support special projects as requested by the Department Manager.
- Ensure effective security processes are followed, particularly with regard to driver and visitor sign-in.

Size of Team/Environment
- Working in a team of 4, responsible for all aspects of Order Management, with regular cross-training to cover holidays and other absences.
Role Requirements
Education/Qualifications
- Ideally qualified to Business Administration-Level 4 or equivalent, or have equivalent experience.
Related Experience
- Demonstrable previous customer service, shipping, and/or distribution experience is essential.
- Data entry relating to customer orders.
- Must have ADR experience.
- IATA experience would be desirable.
- Proven track record of achievement in a similar position.
- Previous experience of direct contact and cost negotiations with transport providers.
- Experience with import and export compliance is highly desirable.
Skills, Special Competencies
- Proven understanding of shipping management.
- Knowledge of dangerous goods transportation processes and regulations.
- Report writing.
- Working knowledge of SAP would be an advantage.
- Excel report writing skills are essential.
- Effective written and oral communication skills.
- Computer literate and capable of data input.
- Must be highly self-motivated.
- Able to work effectively as an individual and as part of a team.
