Job Summary

We are seeking a highly motivated and experienced Administrative Team Leader to join our ENT Department at the University Hospitals of Leicester NHS Trust. As a key member of our administrative team, you will be responsible for providing leadership and guidance to our administrative staff, ensuring the smooth operation of our services and supporting our Administration Managers in their roles.

Main Responsibilities
  • Line manage the administrative team, ensuring appraisals, sickness, and performance management are managed within Trust guidelines.
  • Ensure clear communication processes are in place for staff and regular team meetings are held.
  • Promote team-based working in all aspects of service provision.
  • Ensure staff receive adequate training and development to meet the needs of the service.
  • Be responsible for ensuring administrative procedures continue during periods of sickness and annual leave, and teams work flexibly as required.
  • Initiate changes to working practices within the team to ensure proactive service provision.
  • Be responsible for workload allocation to the team, particularly ensuring cover as necessary.
  • Ensure full utilization of theatre lists and outpatient clinics.

Planning and Organisation Skills

  • Planning and organisation skills with the ability to prioritise schedules and workloads.

Communication and Relationship Skills

  • Effective communication.
  • Understanding of methods for ensuring effective communication, tact, and diplomacy.
  • Team player.

Desirable Skills

  • Exposure to dealing with complaints.

Training and Qualifications

  • Training and relevant experience to GCSE level or equivalent.
  • NHS systems and procedures HISS/PAS, ORMIS, DIT3, ICRIS.
  • NVQ III or equivalent knowledge and experience.
  • Clinic management.

Desirable Qualifications

  • Commitment to on-going learning/training.
  • Management qualification or equivalent experience.
  • Patient Centre/ORMIS/Waiting list.

Experience

  • Three years administrative experience, good understanding of office procedures.
  • Knowledge of RTT and patient pathways.
  • Experience of dealing with customers/patients.
  • Knowledge of Main Trust policies and Procedures.

Desirable Experience

  • Line management experience.
  • Experience of budgetary management.
  • Medical administration experience.

Analytical and Judgement Skills

  • Able to act on own initiative.
  • Ability to work without close supervision.
  • Ability to prioritise conflicting demands on resources to deliver challenging targets and meet deadlines.
