Job Summary

We are seeking a highly motivated and experienced Administrative Team Leader to join our ENT Department at the University Hospitals of Leicester NHS Trust. As a key member of our administrative team, you will be responsible for managing the day-to-day operations of the department, ensuring the smooth delivery of administrative services and supporting the Administration Managers in their duties.

Main Responsibilities
  • Line manage the Administration team, ensuring appraisals, sickness, and performance management are managed within Trust guidelines.
  • Ensure there is a clear process of communication for staff and regular team cascades/meetings.
  • Promote team-based working in all aspects of the service provision.
  • Ensure staff receive adequate training and development to meet the needs of the service.
  • Be responsible for ensuring that administrative procedures continue during periods of sickness and annual leave, and teams work flexibly as required.
  • Initiate changes to working practices within the team to ensure proactive service provision.
  • Be responsible for work allocation to the team, particularly ensuring cover as necessary.
  • Ensure full utilization of theatre lists and outpatient clinics.

Planning and Organisation Skills

  • Planning and organisation skills with the ability to prioritise schedules and workloads.

Communication and Relationship Skills

  • Effective communication.
  • Understanding of methods for ensuring effective communication, tact, and diplomacy.
  • Team player.

Desirable

  • Exposure to dealing with complaints.

Training and Qualifications

  • Training and relevant experience to GCSE level or equivalent.
  • NHS systems and procedures HISS/PAS, ORMIS, DIT3, ICRIS.
  • NVQ III or equivalent knowledge and experience.
  • Clinic management.

Desirable

  • Commitment to on-going learning/training.
  • Management qualification or equivalent experience.
  • Patient Centre/ORMIS/Waiting list.

Experience

  • Three years administrative experience, good understanding of office procedures.
  • Knowledge of RTT and patient pathways.
  • Experience of dealing with customers/patients.
  • Knowledge of Main Trust policies and Procedures.

Desirable

  • Line management experience.
  • Experience of budgetary management.
  • Medical administration experience.

Analytical and Judgement Skills

  • Able to act on own initiative.
  • Ability to work without close supervision.
  • Ability to prioritise conflicting demands on resources to deliver challenging targets and meet deadlines.
