About the Team

The jewellery department at Bonhams is renowned for its exceptional expertise. As the UK auction market leader in jewellery for several consecutive years, we have set numerous world records, establishing new global price points.

Our dynamic team comprises qualified gemmologists, jewellery historians, and connoisseurs who stay abreast of market trends. They regularly collaborate with our global jewellery teams across Europe, the USA, Asia, and Australia, as well as with other Bonhams departments, including Designer Handbags, Watches, and Contemporary Art, to effectively cross-market items to both established clients and new collectors.

About the Role

The Sale Coordinator plays a vital role within the expert department, providing essential support to specialists for the successful execution of auctions and the daily operations of the department.

Key Responsibilities:

  • Manage all orders for stationery and gemmological equipment.
  • Oversee various internal functions on 'A' (Auctioneer), Bonhams' intranet system, including:
    • Receipting property onto 'A' and ensuring accurate tagging with corresponding barcode labels.
    • Updating contracts on the system as necessary and issuing finalized contracts to vendors.
    • Requesting and uploading client information and documentation to 'A'.
    • Handling all system-generated pre- and post-sale correspondence, along with bespoke manual correspondence.
  • Track global sale data for Bonhams and our primary competitors.
  • Coordinate all UK laboratory and workshop runs throughout the year.
  • Manage the shipment of loose stones to and from overseas laboratories.
  • Ensure secure transfer of property between our various offices and salerooms.
  • Organize the international pre-sale tour to New York and Hong Kong biannually.
  • Arrange security personnel and drivers for specialists and department heads during travel.
  • Collaborate with the Gallery team for the setup and delivery of multiple sale previews each year.
  • Print and bind condition reports and laboratory certificates for previews.
  • Provide logistical support for all evening events.
  • Liaise with Client Services and the Bids department as needed before and after sales.
  • Manage all post-sale shipments of sold lots to domestic and international buyers.
  • Support various day-to-day activities to ensure the department operates smoothly and effectively.

  • Excellent communication skills across all platforms with colleagues, clients, laboratories, and suppliers.
  • A flexible approach and willingness to assist the team beyond core responsibilities.
  • Previous experience in an administrative role is advantageous.
