Job Title: Personal Assistant

About the Role:

We are seeking a highly skilled and experienced Personal Assistant to join our team at Williams Lea Limited. As a Personal Assistant, you will provide enhanced, proactive support to fee earners to enable them to operate efficiently.

Key Responsibilities:

  • Proactively manage complex diaries and schedules
  • Answer telephone calls in a timely fashion and take clear and detailed messages
  • Organise internal and external meetings and events
  • Liaise with clients via email or telephone and act as a point of contact in keeping with the firm's standards for client care
  • Assist fee earners in the billing and credit control process, including generating accurate billing reports and draft bills
  • Assist fee earners with finance tasks, including requesting cheques, CHAPS/BACS payments, and bank transfers
  • Maintain up-to-date client records on the firm's client relationship management tool
  • Co-ordinate fee earner movements and make travel arrangements
  • Manage the client and matter inception process, ensuring files are opened in a timely manner
  • Manage the process of submitting partner/fee earners expenses in a timely manner
  • Co-ordinate the completion of document production, e-filing, and file management
  • Draft documents from precedents and maintain confidentiality
  • Liaise with fee earners and support staff based in other offices
  • Actively participate in all relevant training and development opportunities

Requirements:

  • Previous experience as a Personal Assistant is essential
  • Previous experience within a legal or professional services setting is desirable
  • Exceptional standard of written and verbal communication
  • Proficient multi-tasker with strong organisational skills
  • Competent with the Microsoft Office suite
  • Team player with a flexible approach to working practices
