Position Overview

An exciting opportunity has emerged for a detail-oriented and proactive individual to become a part of the administrative team in Gynaecology as a Clinical Pathway Administrator.

The selected candidate will primarily engage with the Colposcopy unit but will also demonstrate adaptability to assist the broader department as necessary.

While prior experience in the NHS and familiarity with electronic patient records is beneficial, comprehensive training will be provided.

Colposcopy collaborates closely with the National Cervical Screening Programme, thus experience in liaising with external organizations will be advantageous.

Key Responsibilities

The incumbent will be responsible for providing cross-functional support within the Gynaecology Administrative team as directed by the Team Leader, responding to daily service requirements.

Patient administration is crucial to the patient journey and supports clinical teams in delivering exceptional patient care, significantly enhancing the patient experience. Efficient patient administration ensures high standards of data quality and optimal utilization of resources.

The role encompasses delivering a professional, comprehensive, and efficient administrative service to all patients and departmental members. This includes managing the entire patient pathway in accordance with the Elective Access policy and Cancer waiting time targets.

Administrative Duties

  • Administer all new referrals received through the electronic referral service, ensuring proper triage by clinical staff.
  • Process and document all non-Choose and Book referrals, including patient registration and updates.
  • Schedule new and follow-up outpatient and diagnostic appointments, optimizing clinic capacity.
  • Manage appointment rescheduling due to patient cancellations, adhering to established targets.
  • Review patient DNAs and coordinate with clinical staff for rescheduling.
  • Maintain accurate filing of patient records and ensure timely processing of clinic cancellations.
  • Provide primary administrative support to consultants, including appointment bookings and correspondence.
  • Utilize digital transcription systems to produce high-quality clinical correspondence.
  • Handle incoming post and telephone queries, ensuring timely responses and actions.
  • Ensure high standards of electronic health records filing and tracking of patient notes.
  • Act as the first point of contact for patients, ensuring adequate reception coverage.
  • Book interpreters and transport for patients as necessary.
  • Collaborate with clinical coders to ensure accurate patient episode coding.

Pathway Management

  • Possess a thorough understanding of the 18-week referral to treatment rules and relevant targets.
  • Validate patient pathways and escalate issues as necessary.
  • Coordinate appointments and procedures with external hospitals and organizations.
  • Ensure timely updates to internal systems regarding patient pathway statuses.

General Responsibilities

  • Exhibit high levels of customer care and act as an ambassador for the Trust.
  • Maintain patient confidentiality and adhere to organizational policies.
  • Support continuous improvement initiatives within the service.
  • Perform any additional duties as requested by the Team Leader or management.
