Key Responsibilities
1. Serve as the primary contact for patients, colleagues, and referrers, ensuring timely and courteous communication both in person and via telephone.
2. Provide comprehensive administrative support to the department, medical consultants, and designated healthcare personnel. Act as the first point of contact for clinical teams and facilitate workflow coordination within the administrative team to maintain service consistency.
3. Collaborate within an administrative team focused on delivering quality patient care while adhering to confidentiality policies.
4. Follow established administrative protocols to support the achievement of organizational and national healthcare targets, particularly concerning patient pathways.

Detailed Responsibilities
1. Act as the designated liaison for medical consultants and clinical teams.
2. Proactively manage telephone inquiries from patients, caregivers, and other service users, ensuring their needs are met or directing them to the appropriate personnel.
3. Maintain accurate and up-to-date Electronic Patient Records (EPR) and other patient databases, ensuring all relevant documentation is attached and clinical outcomes are recorded.
4. Organize multidisciplinary team meetings, including taking and distributing minutes and ensuring all action items are completed.
5. Oversee all correspondence, ensuring urgent matters are addressed promptly and that documentation is scanned and forwarded appropriately to maintain patient confidentiality.
6. Regularly review upcoming clinics, coordinating with the medical team to manage scheduling and address any booking discrepancies.
7. Ensure annual review appointments are arranged for each patient, maintaining effective clinic management throughout the year and communicating any necessary changes to patients.
8. Maintain databases, extract data from EPR, and generate reports for the team as required.
Qualifications
Essential:
- GCSE or equivalent in English and Mathematics, grades A-C.
- Strong understanding of patient pathways and performance targets.
- Proficient in a variety of IT systems, including Microsoft Office Suite.
- Commitment to high standards and quality of work.
- Excellent organizational, planning, and prioritization skills.
- Accurate data entry and attention to detail.
Desirable:
- Comprehensive knowledge of healthcare administrative systems and processes.
- Experience with Electronic Patient Records (EPR).
- In-depth understanding of medical terminology.
