Job Overview

We are in search of a detail-oriented, proactive, and friendly individual who thrives in a dynamic and fast-paced environment to become a part of our dedicated team in Dermatology as administrative and clerical support for a bustling Outpatient department.

The ideal candidate will be instrumental in enhancing the administrative operations of the service, assisting healthcare professionals in providing exceptional patient care.

You will oversee all aspects of the patient journey in accordance with the Trust's Elective Access Policy. Familiarity with various outpatient pathways and referral to treatment (RTT) status codes will be essential. Collaboration with the broader administrative team will be key to contributing to the continuous development and enhancement of our services.

We seek an individual with strong interpersonal abilities in both verbal and written communication, capable of engaging professionally across diverse services and professionals. A flexible work approach is necessary, along with the ability to function effectively within a larger administrative team. Independent work and initiative are crucial, as is proficiency in computer usage.

Key Responsibilities

1. Provide essential administrative support to all clinical personnel, particularly consultants, and all patients under their care, including managing diaries, assisting with correspondence, and fulfilling other administrative tasks as necessary.

2. Serve as the primary point of contact via telephone and email for patients, relatives, GPs, and other relevant organizations, addressing or redirecting inquiries promptly and appropriately. Respond to queries from other departments within the Trust, such as the Patient Contact Centre, ensuring they are informed of any changes to local procedures.

3. Prioritize incoming correspondence, ensuring supporting documentation is available when needed. Take responsibility for ensuring urgent matters are addressed promptly, escalating to other clinical staff or the administrative team leader as required.

4. Ensure all pertinent patient information, including referrals, diagnostic results, and other relevant correspondence, is available in a timely manner and appropriately filed in the patient's medical records, coordinating with other departments and healthcare organizations as necessary.

5. Maintain accurate and up-to-date filing systems and electronic databases. Ensure letters, clinical reports, diagnostic test results, and other relevant correspondence are filed in the correct patient records promptly, including utilizing the electronic patient record system (EPR).
