Role Overview:

The Procurement and Logistics Support Coordinator is an integral member of the Global Procurement and Logistics team based at HQ, providing essential support and guidance to HALO's international programs. This role involves collaborating with programs to facilitate international procurement requests in accordance with HALO's established procurement policies and procedures. Additionally, you will expedite purchase orders and assist in ensuring timely delivery of goods to programs, including coordination with international freight forwarders to manage freight requests in compliance with UK Export Control regulations and Dangerous Goods guidelines.

As part of a small HQ team, you will be expected to work independently at times. Occasional visits to programs may be required, as determined by the Head of the Department in consultation with program leaders.

Key Responsibilities:

  • Collaborate with HALO programs globally to support international procurement requests and freight movements in line with HALO's operational procedures.
  • Engage with suppliers both domestically and internationally to obtain quotes, process purchase orders, and oversee deliveries to HALO programs and the UK warehouse.
  • Foster and maintain positive relationships with suppliers to ensure timely and efficient provision of goods and services.
  • Utilize IT systems to effectively process and track purchase orders.
  • Work closely with UK-based colleagues to provide comprehensive support for logistics and procurement needs related to office operations and events.
  • Assist in managing ISO 9001 compliance requirements.
  • Perform any additional duties as assigned by your line manager that align with the role.

Qualifications:

  • Exceptional verbal and written communication skills.
  • Proven ability to work effectively within a team environment.
  • Strong organizational skills to manage workload amidst competing priorities and urgent tasks.
  • Proficient in Microsoft Excel and Word.
  • Capability to summarize and present information appropriately for diverse audiences.
  • Willingness to pursue further training for professional growth.

Preferred Qualifications:

  • Prior experience in an administrative role.
  • Advanced IT skills, particularly in spreadsheet management.
