Since our inception, HALO has pioneered innovative technological and procedural advancements in Mine Action, employing a diverse array of equipment and methodologies to locate and eliminate explosive threats. Our operations in Ukraine began in 2016, and in response to the escalation of conflict in February 2022, we have significantly expanded our efforts to address the heightened risks posed by landmines and unexploded ordnance, ensuring civilian safety and facilitating the return of land for agricultural use.

Role Overview:

The Procurement and Logistics Support Coordinator plays a vital role within the HQ-based Global Procurement and Logistics team, providing essential support and guidance to HALO's international programs. You will assist in managing international procurement requests in accordance with HALO's procurement policies and procedures. Additionally, you will expedite purchase orders and support the team in ensuring timely delivery of goods to programs, including coordinating with international freight forwarders to manage program freight requests in compliance with the UK's Export Control regulations and Dangerous Goods guidelines.

As part of a small HQ-based team, you will be expected to work independently at times. Occasional visits to programs may be required, as determined by the Head of the Department in collaboration with the programs.

Key Responsibilities:

  • Collaborate with HALO programs globally to facilitate international procurement requests and freight movements in alignment with HALO's standard operating procedures.
  • Engage with suppliers both in the UK and internationally to obtain quotes, process purchase orders, and oversee deliveries to HALO programs and the UK warehouse.
  • Establish and maintain positive relationships with suppliers to ensure timely and efficient provision of goods and services.
  • Utilize IT systems to ensure efficient processing and tracking of purchase orders.
  • Work closely with UK-based colleagues to provide comprehensive support for any logistics or procurement needs related to office operations and events.
  • Assist in managing ISO 9001 compliance requirements.
  • Perform any additional duties as assigned by your line manager that are appropriate for the role.

Qualifications:

  • Exceptional verbal and written communication skills.
  • Proven ability to work effectively as part of a team.
  • Strong organizational skills with the capacity to manage competing priorities and urgent tasks.
  • Proficient in Microsoft Excel and Word.
  • Ability to summarize and present information clearly to various audiences.
  • Willingness to pursue further training for professional growth.

Preferred Qualifications:

  • Previous experience in an administrative role.
  • Advanced IT skills, particularly in spreadsheet management.
