Position Overview

We are seeking a Program Coordinator to join our dynamic team at Brook Street. This role is essential in providing comprehensive administrative support to ensure the smooth operation of our academic programs.

Key Responsibilities

As a vital member of the Program Administration and Support Service, your responsibilities will include:

  • Administrative Support: Deliver professional and efficient administrative services that facilitate the execution of academic programs, serving as a primary contact for students, faculty, and external partners.
  • Inquiry Management: Address inquiries from students and other stakeholders, ensuring timely resolutions and directing complex issues to the appropriate academic staff or services.
  • Collaboration: Work closely with Program Administration Advisers and Team Leaders to tackle more intricate queries and challenges.
  • Assessment Coordination: Collaborate with academic departments to manage assessment-related tasks, including the organization of student submissions, creation of mark sheets, and processing of requests for extensions and exceptional circumstances.
  • Data Management: Collect and compile data from various sources using established procedures, spreadsheets, and databases to support academic processes.
  • Meeting Organization: Arrange both in-person and virtual meetings with students and staff, including preparation and distribution of relevant materials and setting up digital platforms.
  • Event Coordination: Organize program-related activities, such as trips and events, ensuring compliance with university policies and procedures.
  • Record Maintenance: Uphold the highest standards of accuracy in maintaining student and academic records.
  • Recruitment Support: Partner with Marketing and Admissions teams to assist in student recruitment initiatives, particularly during interview and portfolio days.
  • Event Support: Aid in the execution of program-based events, including enrollment, induction, and graduation ceremonies.
  • Team Collaboration: Regularly communicate with Team Leaders to balance workloads, address arising issues, and contribute to process improvements.
