Regional Office Coordinator

We are seeking a skilled and committed office coordinator to join our team on a part-time (2-days per week) temporary basis, with the potential for extension or permanent placement. We value individuals who share our ethos and can deliver daily administrative assistance to our leadership teams, with a passion for enhancing digital workflows.

The position will primarily be located at our office, with the flexibility to work remotely when necessary. It is essential that you thrive in a dynamic administrative environment. A flexible approach to your work is vital, as you will be juggling multiple responsibilities simultaneously. You should be self-driven and proficient, possessing excellent verbal and written communication abilities. Proficiency in Microsoft Office applications is required, along with strong communication skills in a high-pressure environment.

Please ensure you meet the following criteria before applying: -

· A minimum of two years of demonstrated administrative experience

· Strong typing and computer skills across all Microsoft Office applications

· Proven capability in minute taking and verbal transcription.

· Experience in office organization and management, including archiving

· Proven ability to draft correspondence and reports in accordance with company guidelines

· Experience in supporting a management team or equivalent

· Willingness to occasionally travel to various locations for minute taking or other responsibilities, although many tasks can be conducted via virtual platforms.

Additional responsibilities include:

* Responding to email and telephone inquiries

* Ordering personal protective equipment and office supplies

* Managing ad-hoc procurement

* Taking minutes during meetings and hearings

* Processing invoices

* Data collection and reporting

* Managing staff identification badges

* Conducting pre-employment verifications for new hires, including background checks and document verification

* Managing staff background check renewals (if applicable)

* Organizing, finalizing, and updating the Manager On-Call schedule

* Formatting and dispatching correspondence

* Handling postal items

* Arranging meeting spaces, accommodations, and travel

* Coordinating events and outings for service users

* Assisting with digital file management

* Office archiving

* Providing coverage for colleagues during absences
