Position Overview

We are currently seeking a dedicated individual to join our team as a Healthcare Reception Coordinator at Castlefields Health Centre.

Role Summary

This full-time position requires 37 hours of commitment per week, with a schedule designed to meet the operational needs of our practice.

Key Responsibilities

  • Perform a variety of reception and administrative duties on a daily basis.
  • Assist patients in navigating medical services through our digital triage system.
  • Guide and direct patients to the appropriate healthcare services or professionals in a friendly and efficient manner.
  • Provide support to the practice team while maintaining a welcoming atmosphere for patients and visitors, whether in person or over the phone.
  • Ensure a high-quality reception service is delivered to all patients and visitors.
  • Manage the appointment scheduling system effectively.
  • Oversee the movement of patients to and from consultation areas.
  • Utilize the clinical management system for all patient-related tasks.
  • Handle general inquiries, clarify procedures, and facilitate appointment bookings.
  • Manage incoming and outgoing telephone communications, ensuring accurate message delivery.
  • Engage in daily task management to keep all responsibilities current.
  • Sort incoming mail, scan documents, and maintain patient records.
  • Address incoming emails promptly and accurately.

  • Experience in customer service or public-facing roles.

  • Familiarity with clinical management systems.
