Executive Personal Assistant

SRM Recruitment is seeking a skilled Personal Assistant to provide exceptional support to a senior executive within a vibrant and fast-paced organization. This position offers a flexible schedule of three days per week, primarily working remotely. The role encompasses a blend of professional and personal assistance.
Key Responsibilities:
- Facilitate daily business functions and prepare for executive meetings.
- Oversee financial records, including bookkeeping, invoices, and expenses.
- Manage the executive's email correspondence, responding when necessary.
- Coordinate schedules, appointments, and various business-related activities.
- Source and manage external vendors or contractors as needed.
- Maintain accurate bookkeeping records.
- Track personal expenditures and collaborate with the financial team for accurate classification.
- Ensure timely processing of payments and maintain financial documentation.
- Arrange dining reservations, travel logistics, and schedule recreational activities.
- Oversee memberships and related bookings.
- Plan and coordinate travel arrangements, including flights, accommodations, and transportation.
- Manage minor legal claims as required.
- Supervise contractors to ensure ongoing property upkeep.
- Handle invoices, supplier agreements, and associated payments.
- Oversee vehicle maintenance and related administrative duties.
- Address property maintenance issues as they arise.
- Organize logistical details for visits and engagements.
- Collaborate with local property managers for continuous maintenance and project oversight.
- Monitor local spending and manage budgetary constraints.
- Handle property administration tasks, including taxes, bills, and insurance matters.
- Exhibit flexibility to address urgent inquiries outside of standard working hours.
- Maintain a high level of discretion and confidentiality in all matters.
- Work collaboratively with portfolio companies, personal contractors, and external partners.
Qualifications:
- Bachelor's degree or equivalent professional experience.
- Proficient in the Microsoft Office suite.
- Demonstrated experience in managing multiple priorities, administrative coordination, and logistical tasks.
- Highly organized, detail-oriented, and capable of multitasking with strong follow-up abilities.
- Excellent written and verbal communication skills.
