Position Overview

Welcome to FCMS

We are seeking a dedicated individual to join our team in delivering comprehensive administrative support to facilitate the efficient functioning of community-based diagnostic clinics.

Employment Type: Full Time - hours per week

Work Schedule: 8-hour shifts - Monday to Friday

Compensation: £ per hour

Primary Responsibilities

The successful candidate will be responsible for managing referrals, organizing files, scheduling new and follow-up appointments, tracking patient progress through the system, and maintaining precise records of clinic activities within the computerized Patient Administration System EMIS.

Additional administrative support will be provided as needed within the organization.

Important Note: Visa applications cannot be supported at this time.

Key Duties

Core Responsibilities:

  1. Ensure all referrals are accurately registered, providing patients and caregivers with appointment choices while adhering to waiting time targets.
  2. Schedule appointments and collaborate with team members to address telephone inquiries and modify existing appointments as necessary.
  3. Communicate appointment details to patients and caregivers via phone or written correspondence, ensuring timely delivery of all relevant information.
  4. Follow established systems and procedures to effectively manage each patient's journey in a timely manner.
  5. Ensure that patient information is accessible to relevant healthcare professionals when required.
  6. Assist in developing systems to maintain ongoing efficiency.
  7. Contribute to enhancing the quality of information provided to patients consistently.
  8. Collaborate with the Deputy Head of Planned Care and other key personnel to refine administrative processes, ensuring the accuracy of information on waiting lists.
  9. Identify potential future breaches of waiting time targets and promptly inform the Operational Service Lead.
  10. Safeguard the confidentiality and security of all collected information.
  11. Answer telephone calls courteously and professionally at all times.
  12. Participate in relevant training as necessary.
  13. Respond promptly to information requests in accordance with policies and procedures, ensuring compliance with data quality standards for health records.
  14. Understand the importance of accurate and timely data collection in delivering patient care now and in the future.
  15. Perform general office duties, including photocopying.
  16. Undertake additional relevant tasks as directed by the Deputy Head of Planned Care.
