As a Senior Administrative Coordinator at Space Forge Ltd, you will be instrumental in ensuring the efficient operation of the business functions that underpin our pioneering projects. You will serve as the primary contact for communications on behalf of the CEO, organizing meetings and appointments, and providing logistical support for both on-site and off-site engagements. Additionally, you will collaborate with other team members, vendors, and clients, while assisting with various administrative duties.

Key Responsibilities

  • Serve as the main point of contact for the CEO, managing and prioritizing email communications and addressing inquiries professionally.
  • Organize and coordinate meetings, appointments, and travel arrangements for the CEO.
  • Prepare meeting agendas, documents, and presentations, and take minutes as required.
  • Provide logistical support for on-site meetings, including welcoming visitors and arranging necessary facilities.
  • Manage and maintain the CEO's calendar, ensuring effective time management and scheduling of commitments.
  • Perform general administrative tasks such as filing, document management, and expense tracking.
  • Assist in coordinating special projects or ad hoc tasks as needed.

Requirements

Essential:

  • Demonstrated experience as a Senior Administrative Coordinator or in a comparable senior administrative position.
  • Outstanding organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Exceptional communication abilities.
  • Capacity to maintain strict confidentiality and manage sensitive information with integrity.
  • Flexibility and adaptability to changing priorities and requirements in a dynamic environment.
  • Positive demeanor, self-motivated, and capable of working independently while being an effective team player.

Desirable:

  • Prior experience in the aerospace sector or with technical/engineering projects is advantageous.
