Salary: £30,500 - £34,000

We are seeking a dedicated and detail-oriented Property Management Administrator to support our Residential team. This role is crucial in ensuring that our residents receive exceptional service and that all administrative tasks are handled efficiently.

Key Responsibilities:
  • Provide comprehensive administrative support to the Property Management team.
  • Document meeting minutes accurately and promptly.
  • Handle incoming calls, redirecting or taking messages as necessary.
  • Respond to resident inquiries in a timely manner via phone and email.
  • Create and distribute resident communications and newsletters.
  • Maintain a logbook of contractors and site visitors.
  • Coordinate site visits for contractors and residents to facilitate access.
  • Follow up on logged maintenance requests and contractor reports.
  • Manage lease-related administrative tasks, including alterations and pet requests.
  • Monitor and address feedback on the Resident's App.
  • Assist with logging insurance claims and liaising with contractors.
  • Support the Residential team in planning and executing resident events.
  • Contribute to the development of marketing materials.
  • Log maintenance inquiries and forward them to the Maintenance team.
  • Guide the concierge team and document procedures to empower staff.
  • Co-manage the help desk email account.
  • Perform other ad hoc duties as required.
Required Skills and Experience:
  • A minimum of 1 year of experience in a similar administrative support role within the property sector.
  • Ability to thrive in a fast-paced, high-pressure environment.
  • Flexibility to adapt to a dynamic and changing work environment.
  • Strong attention to detail and proactive approach.
  • Excellent time management and prioritization skills.
  • Outstanding communication and customer service abilities.
  • Proficiency in Microsoft Office applications.
  • Strong organizational skills.
  • Capability to work independently and take initiative.
  • Ability to multitask effectively.
