Position Overview

The Outpatient Services Coordinator is tasked with delivering a seamless and effective administrative experience for patients and stakeholders associated with East Kent Hospitals University NHS Foundation Trust. This position entails assisting the Supervisor and overseeing a team that includes a Senior Administrator and several Assistant Administrators, ensuring the operational efficiency and clinical governance of Outpatient Services. The role is situated within a dynamic Patient Service Centre, where the selected candidate will engage in a fast-paced setting, focusing on the training of new personnel and guiding them through a rigorous training regimen aimed at fostering ongoing development and adherence to quality improvement standards. Additionally, the Coordinator will support the team in maintaining precise staff records and ensuring compliance with mandatory training requirements.

Key Responsibilities

In collaboration with the Senior Administrator, you will oversee the daily operations of the team, providing a comprehensive administrative service to all users of the Patient Service Centre. Responsibilities may include:

  • Organizing and prioritizing your own workload as well as that of team members.
  • Engaging with frontline service users, the public, and various external partners.
  • Establishing and maintaining efficient systems for both paper-based and electronic documentation.
  • Composing and preparing correspondence for team members.

The Patient Service Centre comprises several specialized teams, including:

  • The Clinic Maintenance Team, responsible for managing clinic modifications, such as cancellations and appointment format changes.
  • The Two-Week Wait Team, which addresses urgent patient appointments that require timely attention.
  • The Pre-Registration Team, which processes incoming referrals from General Practitioners and registers them in the system.
  • The 18-Week Team, tasked with scheduling initial patient appointments within an 18-week timeframe.
