We are seeking a Contract Support Administrator to contribute to our operations at Octavius Infrastructure on a 12-month Fixed Term Contract.

As a premier civil engineering firm, we specialize in delivering safe, sustainable, and efficient transport solutions throughout the UK.

This role offers hybrid working; you will be required to attend our office weekly and be open to visiting other site locations periodically.

Your responsibilities will include:

  • Managing incoming calls during business hours
  • Communicating with site managers to relay urgent information regarding faults
  • Responding to inquiries from the delivery and commercial teams
  • Accurately logging faults on COINs and ensuring timely communication with site managers
  • Coordinating task schedules for operatives as needed
  • Updating COINs and Citadel with information and images from various sources
  • Submitting variations accurately on COINs and Citadel
  • Efficiently processing variation replies and communicating with site managers
  • Issuing Work Order Instructions to subcontractors promptly
  • Reviewing and marking jobs as complete on COINs and Citadel
  • Overseeing multiple demanding mailboxes and managing high volumes of emails
  • Ensuring all necessary documentation and costs are collected for job completion
  • Following up with subcontractors regarding outstanding paperwork
  • Basic navigation of Webcontractor
  • Assisting site managers with job status reports
  • Verifying operatives' weekly timesheets and overtime for accuracy
  • Exhibiting exceptional attention to detail
  • Collaborating closely with the team and sharing responsibilities

About you:

  • Strong verbal and written communication skills
  • Excellent organizational skills with a focus on detail
  • Experience with data entry and management systems such as COINs and Citadel is preferred but not essential
  • Ability to prioritize tasks and manage time effectively
  • Capable of working both independently and as part of a team
  • Comfortable handling calls and conveying information
  • Problem-solving abilities with adaptability to changing circumstances
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)

You will bring:

  • Previous experience in a similar administrative or support role is desirable
  • Experience in a customer service setting is advantageous
  • A high school diploma or equivalent is required; additional qualifications in administration or related fields are preferred but not mandatory
