Medical Office Coordinator

Job Summary
We are seeking a highly organized and detail-oriented Medical Office Coordinator to join our team at Primary Care Management Solutions Ltd. As a Medical Office Coordinator, you will play a vital role in ensuring the smooth operation of our medical practice.
Main Responsibilities
- Provide administrative support to the multidisciplinary team, including scanning and processing documents, filtering medical reports and letters, and maintaining accurate records.
- Manage the practice appointment system, process patient requests, and respond to inquiries in a timely and efficient manner.
- Act as the central point of contact for patients, ensuring the distribution of information, messages, and enquiries to the clinical team.
- Collaborate with multidisciplinary team members and external agencies to ensure seamless communication and coordination.
- Perform various administrative tasks, including data entry, photocopying, and maintaining a clean and organized workspace.
Secondary Responsibilities
- Maintain and monitor the practice appointment system, ensuring accurate scheduling and timely notifications.
- Process patient requests, including appointments, test results, and medical records.
- Answer incoming phone calls, transfer calls, or respond to inquiries as necessary.
- Signpost patients to the correct service or department.
- Participate in audits and quality improvement initiatives as directed by the audit lead.
Person Specification
- GCSE level or equivalent education.
- GCSE Mathematics and English (C or above).
- AMSPAR Receptionists Qualification.
- NVQ Level 2 in Health and Social Care.
- Experience working with the general public.
- Desirable: experience in administrative duties and working in a healthcare setting.
