Job Summary

We are seeking a highly organized and detail-oriented Medical Office Coordinator to join our team at Primary Care Management Solutions Ltd. As a Medical Office Coordinator, you will play a vital role in ensuring the smooth operation of our medical practice.

Main Responsibilities

  • Provide administrative support to the multidisciplinary team, including scanning and processing documents, filtering medical reports and letters, and maintaining accurate records.
  • Manage the practice appointment system, process patient requests, and respond to inquiries in a timely and efficient manner.
  • Act as the central point of contact for patients, ensuring the distribution of information, messages, and enquiries to the clinical team.
  • Collaborate with multidisciplinary team members and external agencies to ensure seamless communication and coordination.
  • Perform various administrative tasks, including data entry, photocopying, and maintaining a clean and organized workspace.

Secondary Responsibilities

  • Maintain and monitor the practice appointment system, ensuring accurate scheduling and timely notifications.
  • Process patient requests, including appointments, test results, and medical records.
  • Answer incoming phone calls, transfer calls, or respond to inquiries as necessary.
  • Signpost patients to the correct service or department.
  • Participate in audits and quality improvement initiatives as directed by the audit lead.

Person Specification

  • GCSE level or equivalent education.
  • GCSE Mathematics and English (C or above).
  • AMSPAR Receptionists Qualification.
  • NVQ Level 2 in Health and Social Care.
  • Experience working with the general public.
  • Desirable: experience in administrative duties and working in a healthcare setting.
