Job Summary: We are seeking a highly organized and detail-oriented Office Administrator to join our team at Fawkes and Reece. As an Office Administrator, you will provide administrative support to our Sales Teams, ensuring the smooth operation of our sales functions.

Main Responsibilities:

  • Customer Service: Confidently receive and forward sales calls to relevant sales contacts within the company, ensuring timely and effective communication.
  • Email Management: Manage the sales enquiries email inbox, keeping track of enquiries and updating the company database to ensure accurate records.
  • Tender Coordination: Co-ordinate tender responses internally in accordance with deadlines, working closely with the relevant Account Manager to ensure successful project delivery.
  • Document Creation: Create, update, and maintain templates for NDA, PQQ, tender, and interview documentation, ensuring compliance with company standards.
  • Presentation Management: Create and manage sales teams' presentations, ensuring they are visually appealing and effective in communicating our value proposition.
  • Document Management: Set up, copy, scan, and store documents, ensuring internal databases are updated as required to maintain accurate records.
  • Record Maintenance: Review and maintain the accuracy of records, editing where necessary to ensure they are up-to-date and compliant with company standards.
  • Event Coordination: Assist with co-ordinating and sourcing of client entertainment and events, ensuring seamless execution.
  • Information Distribution: Liaise with and distribute project-related information with all levels of the project team and potentially external parties, ensuring timely and effective communication.
  • Meeting Attendance: Attend sales meetings when required, providing administrative support and ensuring accurate records are maintained.
  • Confidentiality: Maintain confidentiality around sensitive documentation and coordination of NDA agreements, ensuring the protection of company interests.
  • CPD Management: Manage CPD bookings, ensuring staff development and compliance with company standards.
  • Barbour ABI Updates: Assist the sales team with Barbour ABI updates, ensuring accurate and timely data entry.
  • Osca Reports: Produce and maintain Osca reports for management and sales teams, providing valuable insights and analysis.
  • Sales Research: Conduct sales research from industry press, online posts, and other sources, feeding potential leads to sales teams to drive business growth.
  • Online Portal Management: Manage online portals, ensuring seamless access and effective communication with clients and stakeholders.
  • Sample Requests: Handle sample requests in conjunction with the factory, ensuring timely and effective delivery.
  • Drawings Management: Produce and maintain a file of drawings from recently completed projects, where non-standard installations have been carried out, and share with the sales team to inform future sales strategies.

Requirements: To be successful in this role, you will need to possess excellent organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment. You will also need to be proficient in Microsoft Office and have excellent communication and interpersonal skills.
