Position Overview

We are seeking a dedicated and organized Outpatient Services Coordinator to join our team at University Hospitals of North Midlands NHS Trust. The successful candidate will collaborate closely with operational teams to ensure that outpatient services are effectively managed, and patients receive timely appointments in accordance with national healthcare standards. This role will also involve reviewing clinic modification requests and taking appropriate actions as necessary. Additionally, the coordinator may be required to support various specialties during colleague absences.

A proactive mindset is crucial, along with the ability to work independently under pressure, prioritize tasks, and set clear objectives. Strong team collaboration skills are essential, as is a thorough understanding of Trust policies and procedures.

Key Responsibilities

- Perform clerical tasks, including the provision and reception of routine information, requiring diplomacy and persuasive communication skills.

- Engage with patients and reception staff regarding appointment-related inquiries or other relevant matters.

- Address inquiries that may present challenges in comprehension.

- Manage all appointment-related queries, conveying factual information to patients, their relatives (with consent), and both internal and external stakeholders.

- Handle a diverse range of communications, including general internal calls, external patient inquiries, and calls from other healthcare professionals.

- Collaborate closely with the Outpatient department to gain comprehensive knowledge of various specialties, ensuring a positive patient experience and effective communication to meet Trust and Divisional goals.

- Maintain regular communication with system administrators to report any scheduling issues, patient inquiries, and provide feedback on daily tasks.

- Ensure optimal utilization of available appointment slots.

- Follow directives from operational teams to deliver a streamlined and efficient booking service.

- Organize personal workload, coordinating and adjusting ongoing clinic schedules and modifications.
