POSITION SUMMARY
The Receptionist, under the guidance of the Director of Administration and Manager of Human Resources, will facilitate a range of front desk operations and office service protocols, executing responsibilities with professionalism and precision.
The primary objective of the Receptionist is to embody a welcoming and approachable demeanor, ensuring that clients, visitors, and staff receive an exceptional service experience.
This role is a full-time position eligible for overtime, with standard hours from 09:00 AM to 5:30 PM, Monday to Friday, including occasional extended hours as required.
KEY RESPONSIBILITIES
Front Desk Operations
- Promptly answer incoming calls and direct them according to established protocols.
- Maintain a consistently manned reception area, coordinating breaks with colleagues.
- Welcome all clients, visitors, and employees courteously, guiding them to the appropriate locations.
- Conduct daily inspections of the reception area and common spaces to ensure cleanliness and order.
- Manage meeting schedules using the firm’s reservation system, monitoring room conditions and reporting any issues.
- Prepare conference rooms for meetings, ensuring all necessary arrangements are in place.
- Proactively check calendars for scheduling conflicts and set-up requirements.
- Coordinate with building security to ensure guest registrations are handled efficiently.
- Assist with occasional office events, providing operational support as needed.
- Distribute daily schedules for meetings and guests.
- Adhere to and update firm Best Practices consistently.
- Maintain confidentiality of client and employee information.
- Possess a comprehensive understanding of the firm’s operations, values, and clientele.
Office Support Services
- Process outgoing mail, including special and international deliveries.
- Organize the transportation of legal documents through courier services.
- Assist in expense processing by compiling necessary documentation.
- Issue security passes and maintain the guest log, ensuring guest office supplies are replenished.
- Demonstrate initiative by suggesting improvements for office supplies and services.
- Present ideas for enhancing reception services and operational efficiency.
Facility Management
- Report maintenance issues and general facility concerns to the appropriate management.
- Ensure adequate stock levels of refreshments and supplies in client and staff areas.
- Maintain the franking machine and ensure supplies are replenished.
- Oversee the reprographics room and print stations daily.
- Complete other duties as assigned.
QUALIFICATIONS AND SKILLS
- A minimum of 2 years of experience in a receptionist or front desk role within a professional services environment.
- Exceptional organizational and multitasking skills.
- A collaborative team player with the ability to build effective working relationships.
- Strong written and verbal communication abilities.
- Proactive self-starter with meticulous attention to detail.
- Ability to take initiative and work independently.
- Effective planning and organizational skills.
- Flexibility to adapt to changing demands.
- Strong follow-through on assignments.
- Willingness to work overtime as necessary.
