About the Role

We are seeking a highly organized and detail-oriented Legal Analyst to join our Property Team at Done Brothers. As a key member of our team, you will play a crucial role in assisting with all aspects of Property Management for our entire portfolio.

Key Responsibilities

  1. Rent Administration
  • Assist with the authorization process of all rent demands.
Health and Safety Management
  • Manage the online health and safety portal (rfb):
    • Upload and download health and safety documents.
    • Keep track of passed/failed/remedied sites.
    • Obtain quotes for any remedial work from multiple contractors.
    • Instruct suitable contractors.
    • Keep track of costs for testing and remedial works.
    • Ensure contractors are up to date with schedules.
    • Review FRA and allocate jobs to relevant personnel.
    • Respond to EHO requests for documentation.
    • Pay contractors' invoices.
    • Identify high-risk sites and prioritize.
    • Ensure departments complete jobs allocated to them.
    • Maintain accurate property records for the entire estate.
    • Take ownership of H&S issues raised, to resolution, ensuring legal compliance.
    • Ensure property testing is kept up-to-date.
  • Utilities Management
    • Assist accounts with liability of utilities and assist with recoveries where sub-meters exist.
  • Lease Document Management
    • Assist with the management of lease documents.
  • Information Flow and Control
    • Assist and follow procedures for the flow and control of information between estates and accounts.
  • Shop Repairs and Inspections
    • Liaise with Helpdesk Maintenance over responsibility to shop repairs.
    • Liaise with shops to arrange Landlord or Agent site inspections of our stores.
  • Team Collaboration and Project Support
    • Assist in all new projects where appropriate.

Requirements and Skills

  • Computer literate, particularly in Excel and Word documents.
  • Good organizational skills.
  • Ability to work independently and as part of a team.
  • Ability to follow instructions as well as use own initiative.
  • Flexible approach to work, with the ability to multi-task.
  • Strong communicator with fluent verbal and email skills.
  • Previous experience with working in a busy estates team preferred but not essential.
