About the Role

We are seeking an experienced and proactive Executive Assistant to support our Chief Technology Officer (CTO) in a fast-paced and dynamic environment. As a key member of our team, you will be responsible for providing administrative support to the CTO, ensuring the smooth operation of their daily work routine.

Key Responsibilities
  • Manage the CTO's calendar, scheduling meetings, appointments, and travel arrangements
  • Coordinate expenses for the CTO and their team
  • Organize and attend select meetings, take notes, capture action items, and support follow-through
  • Perform general administrative duties, such as preparing memos, letters, presentation decks, and other documents
  • Oversee the patenting process, managing relationships with IP lawyers, budgeting, and tracking
  • Manage phone calls, take messages, and support external visitors or guests, handling sensitive and confidential information with discretion
  • Collaborate with the technical team to support initiatives and promote a positive culture
  • Take ownership of ad-hoc projects and activities from conception to completion, as well as supporting projects within the tech team as required
  • Provide support to the Business Support team, working closely with the EAs and offering cover when needed
Requirements
  • Proactive approach to supporting the CTO and problem-solving with strong decision-making capabilities

  • Strong interpersonal skills with a positive and kind attitude, ability to represent the Executive and ensure discretion and confidentiality at all times
  • Ability to work in a fast-moving environment, being adaptable in a rapidly growing company
  • Exceptional organizational skills, with the ability to plan and prioritize accordingly to meet deadlines
  • Excellent communication skills, both verbal and written
  • Flexible and adaptable, with an understanding of the demands of supporting a busy Executive
  • Business and commercial acumen
