Position Overview

We are looking for a dedicated and proactive individual to join our dynamic team as an Office Coordinator within the Children's Therapy Division.

The successful candidate will play a crucial role in supporting the Children's Therapy Team by ensuring the delivery of a high-quality service in a fast-paced environment. This position involves managing sensitive and confidential information, both manually and electronically, while adhering to established departmental protocols. Responsibilities will include scheduling appointments, maintaining electronic records, processing therapy referrals, and performing general administrative tasks, including handling phone inquiries and welcoming patients.

Strong communication skills and the ability to prioritize tasks effectively are essential, along with a flexible and patient-centered approach.

Key Responsibilities

  • Assist the Children's Therapy Team by addressing general inquiries through various channels, including written correspondence, phone calls, emails, and face-to-face interactions.
  • Follow established departmental protocols while managing tasks such as receiving, organizing, and safeguarding electronic data that may contain sensitive information.
  • Supervise other support personnel and assist in the onboarding of new or less experienced staff members as needed.
  • Coordinate patient appointments and ensure accurate record-keeping using the designated electronic system.
  • Exhibit excellent communication and interpersonal skills to effectively engage with patients and colleagues.
  • Work independently, demonstrating initiative when required, while also collaborating as part of the broader administrative team.
  • Manage the ordering of supplies and contribute to monitoring inventory levels.

Qualifications and Experience

Essential

  • Minimum of GCSE Level education or equivalent, with a focus on Mathematics and English at grade C or above.
  • Proficiency in word processing and computer skills.
