Administrative Coordinator

Position Overview
The successful candidate will be tasked with delivering thorough and confidential administrative and secretarial assistance to the designated department, ensuring operational efficiency within the team.
You will demonstrate exceptional organizational abilities and foster positive working relationships with team members. Strong communication skills are essential, along with the ability to manage your workload effectively, ensuring tasks are completed in a timely and secure manner.
Key Responsibilities
1. Address inquiries and take necessary actions on behalf of the service, whether through phone or written correspondence, adhering to established timelines.
2. Develop and uphold an effective administrative framework for others.
3. Operate independently and ensure that urgent matters are resolved promptly.
4. Prioritize and manage workload efficiently.
5. Create and maintain digital filing systems, with familiarity in relevant software applications.
6. Organize and document minutes or notes during internal meetings.
7. Enter general data into organizational databases or internal records. Handle inquiries through various channels, including email and phone, ensuring timely responses.
8. Process referrals as requested and coordinate appointments for assessments.
9. Manage the ordering of supplies, oversee stock levels, and ensure proper storage upon delivery.
10. Provide coverage for other administrative hubs as needed, which may involve working at different locations.
Front Desk Responsibilities
1. Relay clear messages to the appropriate team members promptly, using discretion regarding urgency.
2. Oversee the procurement of office supplies through the electronic system, ensuring goods are received and addressing any shortages.
