Role Overview:

As the Operations Administrator, you will play a vital role in the operational framework of our care home, collaborating closely with the Home Manager to foster a supportive atmosphere where residents and their families feel valued and secure. You will lead the Concierge Team, motivating them to uphold the highest standards of hospitality.

Key Responsibilities:

  • Assist the Home Manager in establishing a welcoming environment that consistently exceeds the expectations of residents and their families.
  • Oversee the daily operations of the Concierge Team, ensuring exceptional service delivery.
  • Handle all communications professionally and promptly, adhering to company standards.
  • Maintain an organized and efficient administrative system for home operations.

Administrative Duties:

  • Manage daily administrative tasks, including documentation related to resident admissions and inquiries.
  • Ensure accurate record-keeping and confidentiality in line with data protection regulations.
  • Coordinate various administrative processes to support the smooth functioning of the home.
  • Maintain stock control and manage supplies for the administrative team.

Financial Management:

Support the Home Manager and finance team with:

  • Preparation of admission paperwork and ensuring timely processing of contracts and payments.
  • Management of billing processes and resident accounts.
  • Regular reporting on financial matters to ensure transparency and accountability.

Team Support and Development:

Collaborate with the People and Culture team to:

  • Assist in recruitment processes and onboarding of new staff.
  • Manage staff scheduling and attendance records.
  • Support ongoing training and development initiatives for team members.

Candidate Profile:

  • Experience in a similar administrative role within a care or hospitality setting.
  • Strong organizational skills with a keen attention to detail.
  • Excellent communication and interpersonal abilities.
  • A compassionate and empathetic approach to working with residents and their families.
