Position Overview:

As the Operations Administrator, you will play a vital role in the operational framework, collaborating closely with the management team to foster a supportive atmosphere where residents and their families feel valued and secure. You will oversee the Concierge Team, motivating and guiding them to uphold the highest standards of service excellence.

Key Responsibilities:

  • Assist in cultivating a welcoming environment that consistently delivers outstanding experiences for residents and their families.
  • Manage the daily operations of the Concierge Team, ensuring seamless service delivery.
  • Handle all incoming communications in a professional and courteous manner, adhering to organizational standards.
  • Foster a nurturing atmosphere that prioritizes the well-being of residents and their families.

Administrative Duties:

  • Oversee daily administrative functions, including managing resident documentation and inquiries.
  • Maintain an accurate and confidential database of resident information in compliance with data protection regulations.
  • Coordinate essential paperwork and ensure timely updates to relevant records.
  • Manage stock levels of office supplies and ensure efficient distribution.
  • Support the management team with various administrative tasks as needed.

Financial Management:

Collaborate with management and finance teams to ensure accurate financial reporting and compliance:

  • Prepare and process admission documentation and ensure timely contract execution.
  • Maintain accurate financial records for resident billing and payments.
  • Manage petty cash and oversee resident financial allowances.

Human Resources Support:

Assist the HR team with various personnel-related tasks:

  • Support recruitment processes and ensure compliance with hiring protocols.
  • Manage employee records and ensure all documentation is current and accurate.
  • Assist in organizing training and development initiatives for staff.

Candidate Profile:

  • Experience in a similar administrative role within a care or hospitality setting.
  • Strong organizational and communication skills, with a keen attention to detail.
  • Ability to handle sensitive situations with professionalism and empathy.
  • Proficient in managing multiple tasks in a fast-paced environment.
