Executive Assistant to Senior Partner & CEO, Family Office

A prestigious family investment office is seeking a skilled and driven Executive Assistant to support the CEO and Senior Partner. This position also entails providing occasional assistance to the Chief of Staff and COO. Located in a vibrant office environment, you will be part of a welcoming team. The role includes a limited amount of personal assistant duties for the CEO and Senior Partner.

Key Responsibilities:

• Efficient diary management – coordinating meetings and appointments for both business and personal schedules of the Senior Partner and CEO.

• Meeting coordination - organizing, preparing venues, and necessary documentation.

• Extensive communication management at all levels – both internal and external, including interactions with ultra-high-net-worth clients.

• Serving as the primary point of contact.

• Overseeing logistics for all domestic and international travel arrangements, including visas, itineraries, and required paperwork.

• Compiling detailed itineraries and agendas.

• Processing invoices and managing expense reports.

• Assisting in the preparation of reports and presentations.

• Supporting the management of the home estate for the Senior Partner/CEO, which includes managing utility bills, liaising with household staff, and coordinating school-related schedules.

• Providing administrative support to the CEO/Senior Partner's charitable initiatives as needed.

• Assisting with travel arrangements for the company's ultra-high-net-worth clients when required.

Candidate Profile:

• Minimum of 2 years' experience in a comparable Executive Assistant role.

• Experience with ultra-high-net-worth individuals is preferred.

• Confident, motivated, and articulate.

• Exceptional attention to detail along with strong written and verbal communication skills.

• A dedicated team player.

• Highest standards of confidentiality, discretion, and diplomacy.

• Strong organizational skills, accuracy, time management, and conscientiousness.
