Personal Assistant to Philanthropist

We are looking for a PA to support a young, energetic philanthropist.  This role will be based at the Family Office in West London, but the primary focus will be on supporting the principal in all aspects of his personal and professional life.  You will be responsible for booking frequent international travel and for managing the London properties, including renovation projects, furniture purchases and staffing.  You will work closely with the team at the charitable foundation and will also get involved in the work of the Family Office.  The ideal candidate for this role will be well organised and meticulous, and used to working independently. You should be responsive to the principal’s needs and ready to tackle new projects as they arise.

 

Hours:-   10am-6pm, Monday to Friday

Location:-   Holland Park

Salary:-   Dependent upon experience 

Start Date:-   ASAP

Interviewing:-   ASAP

 

Responsibilities include, but not limited to:

PA Duties

  • Maintaining the personal Outlook diary and calendar
  • Arranging meetings
  • Preparation for meetings, including full briefing and providing all necessary papers and dockets
  • Making restaurant and theatre bookings
  • Making travel arrangements (including occasional weekend support when travelling)
  • Maintaining electronic contact records
  • Processing invitations received
  • Dealing with all incoming personal post
  • Dealing with email requests as referred by principal
  • Keeping files and records up to date and easily accessible
  • Personal shopping as required
  • Arranging payment of bills
  • Managing the vehicles owned by the principal, including insurance, repairs and occasional purchases and sales
  • Research as required
  • Liaison with the principal’s charitable foundation
  • Other support as required

Property Management 

  • House security – liaison with alarm company and responsible for the key registers
  • Line management of the housekeeping staff.  This will include planning and overseeing work, and also arranging their leave
  • Management of contractors including on site supervision as required
  • Assisting with the recruitment of new staff
  • Management of maintenance and renovation projects as required
  • Liaison with IT manager to resolve any problems swiftly and implement any upgrades needed
  • Management of furniture and art work in store

Family Office

  • Liaison with the family office team
  • Review of staff credit cards
  • Filing and archiving of family records and documents
  • Recording of bills received from suppliers and setting up payment for approval or preparing bank transfers for signing by the principals
  • Support with recruitment (placing advertisements, reviewing and summarising applications, and arranging interviews)
  • Maintenance of the holiday and sick records for all staff  

Other duties as required to assist the Principal in his personal arrangements or consistent with the duties set forth above.
