Position Summary:

We are seeking a Senior Event Executive to play a pivotal role in managing one of our significant corporate partnerships. This long-term collaboration has expanded our responsibilities, necessitating the expertise of a Senior Event Executive. In this position, you will be responsible for crafting the operational project framework for a major annual event, which we will support throughout the year. This role is vital, as a significant portion of your focus will be dedicated to the successful execution of this event.

Working in close collaboration with the director, you will guide this project from inception to completion. You will be accountable for the schedule, budget, and logistical implementation of the event, ensuring that every detail is meticulously organized. Your responsibilities will encompass not only pre-event planning but also providing on-site support during the event.

This position is ideal for an exceptionally organized individual with outstanding project management capabilities. We are looking for someone who is ambitious and eager for greater autonomy and the chance to leave a lasting impact.

While your primary focus will be on supporting our client, you will also contribute to various projects within our events portfolio, which may include conferences, exhibitions, corporate gatherings, award ceremonies, and consumer experiences throughout the year.

Key Responsibilities:

  • Develop and maintain a comprehensive project plan and timeline, along with a financial overview for the project, ensuring that the event adheres to the established schedule and deadlines.
  • Oversee the entire project management process for the event, coordinating with suppliers, engaging stakeholders, and collaborating with a larger operations team to successfully execute large-scale events.
  • Manage budgets while closely monitoring operational expenses to ensure events remain within financial parameters. This includes negotiating with key suppliers and venues to secure favorable contract terms and managing payment schedules to ensure timely payments.
  • Participate in regular client meetings and reporting, gaining a clear understanding of the client's objectives and ensuring that event execution aligns with their goals.
  • Adhere to company policies, procedures, and sustainability principles, while actively working to enhance the sustainability performance of live events.
  • Ensure that all Health & Safety, Risk Assessment, and other relevant information for the event is delivered in a timely and accurate manner.
  • Source appropriate suppliers for each event, securing the best products and services at competitive prices.
  • Maintain organized project files for your events on our shared platform.
  • Provide administrative support across all projects.
  • Manage and support events on-site.

Qualifications:

  • Proven project management skills, including the ability to prioritize tasks, manage timelines, and adhere to budgets using tools such as Asana and Excel.
  • A minimum of 2 years of experience in managing large event projects.
  • Experience in budgeting is essential, with overall financial responsibility being an advantage.
  • Exceptional planning and time management skills, with the ability to work under pressure and manage multiple events simultaneously.
  • Demonstrated expertise in stakeholder management, combined with strong collaboration and relationship-building skills.
  • A creative thinker with a passion for advancing in the events industry.
  • Proficient in IT applications (Word, Excel, PowerPoint) and capable of using design software tools.
  • Meticulous attention to detail and a creative perspective.
  • A valid, clean driving license is required.
