Position Summary:
We are thrilled to announce an opening for a Senior Event Executive, a pivotal role that involves managing one of our key corporate partnerships. This long-standing client has entrusted us with expanded responsibilities, necessitating a skilled individual to oversee their flagship annual event, which we support year-round. Your primary focus will be on ensuring the success of this significant event, which constitutes 80% of your role.
In collaboration with the director of Sneaky Experience, you will navigate this project from inception to completion, taking charge of the timeline, budget, and logistical execution. This role encompasses comprehensive pre-event planning and providing hands-on support during the event itself.
The ideal candidate will possess exceptional organizational skills and a knack for project management. We seek someone who is ambitious and eager for increased responsibility and the chance to leave a lasting impact.
While your main focus will be on this client, you will also contribute to other projects within our event portfolio, which may include conferences, exhibitions, corporate gatherings, award ceremonies, and consumer experiences throughout the year.
Key Responsibilities:
- Develop and maintain a detailed project plan and timeline, alongside a financial overview for the event, ensuring adherence to schedules and deadlines.
- Manage all aspects of the event project, coordinating with suppliers, engaging stakeholders, and collaborating with a broader operations team to execute large-scale events successfully.
- Monitor budgets closely, managing operational costs to keep events within financial constraints. This includes negotiating with suppliers and venues to secure advantageous terms and ensuring timely payments.
- Participate in regular meetings with clients, ensuring a thorough understanding of their objectives and aligning event execution with their goals.
- Adhere to company policies and sustainability practices while striving to enhance the environmental performance of live events.
- Ensure that all Health & Safety regulations and Risk Assessments are completed accurately and on time.
- Source and secure the best suppliers for each event, ensuring quality products and services at competitive prices.
- Maintain organized project files for events on our shared platform.
- Provide administrative support across various projects.
- Manage and support events on-site, ensuring smooth execution.
Qualifications:
- Proven project management expertise, with the ability to prioritize tasks, manage timelines, and adhere to budgets using tools like Asana and Excel.
- A minimum of 2 years of experience in managing large-scale events.
- Experience with budgeting is essential, and overall P&L responsibility is a plus.
- Outstanding planning and time management skills, capable of thriving under pressure and managing multiple events simultaneously.
- Strong stakeholder management abilities, with excellent collaboration and relationship-building skills across various teams.
- A creative thinker with a passion for advancing in the events industry.
- Proficient in IT (Word, Excel, PowerPoint) and familiar with design software tools.
- Meticulous attention to detail and a creative perspective.
- A valid, clean driving license is required.
