We are seeking a dedicated Executive Assistant to support our Senior Leadership Team in the North East & Yorkshire region. This full-time position involves providing exceptional administrative and organizational support to facilitate the smooth operation of our leadership functions.
This role encompasses a standard workweek of 37 hours, Monday through Friday.
Key Responsibilities:
- Draft, organize, and disseminate correspondence and documentation, including preparing materials for signature.
- Manage the executive's inbox and calendar, coordinating meeting logistics as necessary.
- Engage with both internal and external stakeholders, including senior management and partners.
- Address inquiries and ensure timely follow-up on escalated matters from various stakeholders.
- Coordinate travel arrangements and accommodations as needed.
- Oversee the reconciliation of expense reports and compliance documentation for the leadership team.
- Filter and respond to emails on behalf of the leadership team when appropriate.
- Gather and prepare relevant materials for business meetings and board discussions.
- Document meeting minutes as required.
- Organize local events, such as team-building activities and recognition ceremonies.
Candidate Qualifications:
- Familiarity with the North East and Yorkshire regions to facilitate effective calendar management.
- Willingness to travel within the North East and Yorkshire as necessary.
- Proven experience in an executive assistant role.
- Ability to handle confidential information with the utmost discretion.
- Strong interpersonal skills to foster relationships across various levels of the organization.
- Proficiency in Microsoft Office applications at an intermediate level.
- Adaptability and the capacity to manage multiple tasks simultaneously.
- Meticulous attention to detail.
- Self-motivated with the ability to work independently.
- Excellent collaborative skills to work effectively within a team environment.
- Capability to quickly and accurately process large volumes of information.
- Ability to perform under pressure and meet tight deadlines when necessary.
