About the Role:
We are seeking a highly skilled and experienced Personal Assistant to join our team. As a key member of our team, you will provide administrative support to our Director, ensuring the smooth day-to-day operation of the business.
Responsibilities:
- Administrative Support: Provide comprehensive administrative support to our Director, including diary management, travel arrangements, and presentation creation.
- Communication: Act as the first point of contact for the business, handling all enquiries, correspondence, and phone calls.
- Bookkeeping: Manage quarterly bookkeeping, ensuring timely delivery of accurate VAT Returns and yearly Company Accounts.
- Client Management: Manage client billing and contracting, including tracking obligations.
- General Administration: Maintain accurate records, procedures, and policies, ensuring the smooth operation of the business.
- Team Management: Supervise the team, ensuring the day-to-day running of the business is efficient and effective.
- Human Resources: Assist with recruitment, performance management, and staff reviews, ensuring compliance with HR regulations.
- Supplier Management: Manage relationships, contracts, and troubleshooting with company suppliers and service providers.
- Office Management: Maintain the office facilities, including IT and telecoms troubleshooting.
- Project Support: Provide backup project support to the team, ensuring deadlines are met.
- Database Management: Manage databases and filing systems.
- Procedure Implementation: Implement and maintain administrative systems and procedures.
- Liaison: Liaise with staff, suppliers, and clients.
- Expense Management: Collate and file expenses.
- Research: Conduct research on behalf of the team.
- Support: Support the Director in all areas of the business.
- Collaboration: Work collaboratively with the press assistant and junior and senior publicists.
- Stakeholder Management: Assist in managing relationships with key external stakeholders and brand partners.
- Media Enquiries: Act as a point of contact for media enquiries.
Requirements:
- Experience: Solid PA experience, ideally within a creative business or startup.
- Autonomy: Experience working autonomously.
- Skills: Excellent administrative, communication, and organizational skills.
What We Offer:
Salary up to £50,000 depending on experience, and a hybrid setup.
