Position Overview

The Resource Allocation Coordinator will report to the Work Planner and will be an integral part of the Network Operations team. This role is designed for a permanent employee.

Compensation includes a salary of £37,165 per annum, along with a 3% bonus and an Outer London Allowance of £2,452.97. Additionally, a 15% shift allowance is provided.

Role Responsibilities

As a member of the scheduling team, you will ensure the effective utilization, allocation, and management of resources to deliver various work streams within a designated area. Collaborating with Schedulers, Field Staff Supervisors, and Field Teams, you will strive to provide exceptional service to customers, ensuring compliance with Guaranteed Service Standards.

The successful candidate will maintain high standards of professional conduct in all interactions.

This position requires availability for shifts across a 7-day work week.

Key Dimensions:

  • Safely schedule staff, including direct employees and contractors, within the region.
  • Maximize resource utilization and update scheduling tools or any new systems as necessary.
  • Utilize work management tools such as ADMS (PowerOn), MRS, GPS, SAP, and PC systems to facilitate the issuance and completion of tasks.
  • Demonstrate proficiency in Word, Excel, and other relevant software applications.
  • Generate and process purchase orders using SAP, including management report generation.
  • Address and resolve telephone inquiries from both internal and external stakeholders.
  • Collaborate with other departments as needed.
  • Assist in investigating customer complaints.
  • Document and coordinate adherence to Electricity Guaranteed Standards.
  • Communicate with Field Staff and update systems with site information.
  • Engage with Local Authorities regarding regulatory compliance issues.
  • Ensure contractors comply with relevant regulations.
  • Manage the issuance of Street Works Permits and Private Works.
  • Uphold procedural compliance.
  • Participate in emergency response roles as part of the local Emergency Response Centre.

Accountabilities:

Customer Service and Financial Management:

Schedule and dispatch field personnel to ensure:

  • All teams, including contractors, are dispatched promptly.
  • Minimize response times to site.
  • Maintain communication with on-site staff to keep customers informed of Estimated Times of Arrival (ETA) and Estimated Times of Restoration (ETR).
  • Achieve optimal restoration times.

Customer Engagement:

  • Coordinate with field staff to provide customers with timely updates on their service requests.
  • Ensure compliance with Electricity Guaranteed Standards and accurate record-keeping.
  • Schedule appointments and provide job progress updates to customers.
  • Allocate resources effectively to minimize customer complaints.

Operational Processes:

  • Schedule staff safely and efficiently.
  • Update SAP and other systems in a timely manner.
  • Process purchase orders without delay.
  • Ensure visibility of all staff through updated scheduling systems.
  • Collaborate with contractors to ensure regulatory compliance.
  • Manage workloads effectively and adhere to timelines.
  • Ensure all necessary information is communicated to reinstatement contractors for task completion.

Qualifications:

  • Basic understanding of network operations and job types.
  • Proficient PC skills and ability to use various systems with accuracy.
  • Strong teamwork skills and a collaborative approach to achieving shared objectives.
  • Problem-solving abilities.
  • Flexibility in work hours and responsibilities.
  • Enthusiastic approach while prioritizing safety and supply security.
  • Relevant qualifications such as City and Guilds 2239 (SG3 until qualification is achieved).
