About the Role

We are seeking a highly organized and detail-oriented Executive Support Specialist to join our client's team in London. As a key member of the Executive Team, you will provide administrative support to the team, ensuring seamless day-to-day operations and contributing to the success of the organization.

Key Responsibilities
  • Schedule Management: Manage the Executive Team's schedule, including arranging meetings, appointments, and travel arrangements.
  • Communication and Correspondence: Screen and prioritize incoming emails, phone calls, and correspondence for each team member, handling routine matters independently and escalating urgent issues as necessary.
  • Document Preparation: Prepare and edit documents, presentations, and reports for the team, ensuring accuracy and adherence to company standards and branding.
  • Logistics and Coordination: Coordinate logistics for internal and external meetings, including booking venues, arranging catering, and preparing meeting materials.
  • Point of Contact: Serve as a point of contact and liaison between the Exec and internal staff, external stakeholders, and clients, maintaining professional and responsive communication.
  • Agenda Preparation: Assist in the preparation of agendas and briefing materials for meetings, ensuring each Exec member is well-informed and prepared.
  • Confidentiality: Manage confidential information with discretion and maintain strict confidentiality in all matters related to the company.
  • Research and Support: Conduct research and gather information as requested by any member of the Exec team to support decision-making and strategic planning.
  • Special Projects: Handle special projects and assignments as delegated by the Exec team, demonstrating flexibility and adaptability to changing priorities.
  • Office Management: Provide ad hoc office management support to ensure the smooth running of the office, to include maintaining stocks of office supplies, liaising with the facilities management team to ensure all maintenance activity is managed appropriately and other duties as may be appropriate from time to time.
Requirements
  • Experience: Proven experience as an Executive Assistant, preferably in a corporate environment.
  • Organizational Skills: Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion: Discretion and professionalism in handling confidential information and sensitive matters.
  • Independence: Ability to work independently with minimal supervision and as part of a team.
  • Adaptability: Flexibility and adaptability to changing priorities and responsibilities.
