Job Overview

An exciting opportunity has arisen for an Administrative Support Officer to join our Paediatric Liaison Team, which is part of the North Middlesex University Hospital's Community 0-19 Service. We are looking for a highly motivated and organized individual who will provide effective and efficient administrative support to the team and contribute to the smooth functioning of the service.

Main Responsibilities
  • Provide administrative support to the Paediatric Liaison Team, including data entry, document management, and record-keeping.
  • Collaborate with team members to ensure the timely and accurate processing of A&E attendance cards for children 0-19 years old.
  • Develop and maintain spreadsheets to track client data and ensure accurate and timely entry of necessary information.
  • Implement and maintain effective client and systems to ensure client records are kept safe, confidential, up to date, and accessible.
  • Process data protection enquiries and liaise with clinicians and external agencies to ensure that all necessary information is provided in an efficient and timely manner.
  • Attend and participate in meetings, take minutes, and distribute as appropriate.
  • Undertake administrative duties, including scanning, photocopying, uploading documents, and emailing other professionals.
  • Use email, RiO, Medway/Careflow, intranet, Internet, and Microsoft packages as required.
  • Answer telephone and email enquiries as required.
  • Provide cover for administrative staff during periods of leave and sickness.
  • Ensure the security of the premises when leaving.
  • Handle both routine and urgent matters using initiative and with minimal supervision.

Attributes/Skills

  • Relevant practical experience
  • 5 GCSE passes A – C grades or equivalent
  • Good knowledge and proficiency of Microsoft packages to include Word, Excel, PowerPoint, Outlook
  • Full range of administrative procedures, software programmes
  • Keyboard skills to ensure accuracy, speed, and optimum use of functions
  • Accurate data input
  • Excellent verbal and written communication

  • Implement efficient administration and filing systems
