Administrative Support Officer

An exciting opportunity has arisen for an Administrative Support Officer to join our Paediatric Liaison Team, which is part of the North Middlesex University Hospital's Community 0-19 Service. We are looking for a highly motivated and organized individual who will provide effective and efficient administrative support to the team and contribute to the smooth functioning of the service.
Main Responsibilities- Provide administrative support to the Paediatric Liaison Team, including data entry, document management, and record-keeping.
- Collaborate with team members to ensure the timely and accurate processing of A&E attendance cards for children 0-19 years old.
- Develop and maintain spreadsheets to track client data and ensure accurate and timely entry of necessary information.
- Implement and maintain effective client and systems to ensure client records are kept safe, confidential, up to date, and accessible.
- Process data protection enquiries and liaise with clinicians and external agencies to ensure that all necessary information is provided in an efficient and timely manner.
- Attend and participate in meetings, take minutes, and distribute as appropriate.
- Undertake administrative duties, including scanning, photocopying, uploading documents, and emailing other professionals.
- Use email, RiO, Medway/Careflow, intranet, Internet, and Microsoft packages as required.
- Answer telephone and email enquiries as required.
- Provide cover for administrative staff during periods of leave and sickness.
- Ensure the security of the premises when leaving.
- Handle both routine and urgent matters using initiative and with minimal supervision.
Attributes/Skills
- Relevant practical experience
- 5 GCSE passes A – C grades or equivalent
- Good knowledge and proficiency of Microsoft packages to include Word, Excel, PowerPoint, Outlook
- Full range of administrative procedures, software programmes
- Keyboard skills to ensure accuracy, speed, and optimum use of functions
- Accurate data input
- Excellent verbal and written communication

- Implement efficient administration and filing systems
- Working in a confident manner/workload planning

- Minimum 2 years' Administrator experience

- NVQ
- Good knowledge and proficiency of Trust systems to include RiO
- Able to produce reports of a high standard
