Position Summary
An exciting opportunity has arisen to join The Macallan Estate as the Estate Support Administrator. Reporting to the Estate Manager, the Estate Support Assistant will be responsible for effective and efficient administrative support for The Macallan Estate Team, which includes the Garden & Grounds/Habitat team, Estate Ghillie & Spey fishing beat, Agricultural support, and H&S support for filming on the Estate. The position also provides logistics support across the Speyside sites.

**Job Description**:

Key Responsibilities for the role include:

- Maintaining and updating the estate planner on a regular basis, ensuring all areas of the business are covered
- Updating records for the 1000 oaks, ensuring owner data and any maintenance to each tree is captured
- Setting up new suppliers and approved contractors liaising with finance and engineering teams
- Liaising with suppliers and ordering of workwear, PPE, team equipment etc
- Receiving, processing, and approving invoices received from suppliers/contractors through SAP to ensure timeous payment to service providers
- Ensuring Estate team budget sheets are kept up to date
- Monitoring and restocking of fishing hut guest supplies
- Liaising with experience and events team to manage requirements for experiences and events
- Point of contact for contractors, film crews etc. on the estate
- Carrying out site inductions
- Hosting contractors, film crews etc throughout visit (flexible working may be required)
- Controlling contractors through P2W

Skills and Experience
To be successful in this role you will have strong IT skills, specifically MS office packages with experience of using booking events and customer service platforms being desirable. Basic problem-solving skills, strong organisational and planning skills and experience of working to deadlines. Effective communication skills across many stakeholders. You have the ability to adopt new technologies, implement and use when required. You have high attention to detail - accurate record keeping and data entry. You are self-motivated and demonstrate ownership over tasks. You have the ability to work on your own initiative. Ideally you have experience of carrying out risk assessments including suitable qualifications i.e. IOSH Managing Safety. Having good knowledge of the environmental regulations would be desirable however not essential. As the role requires travelling within the Macallan Estate a full clean driving licence is required.
