Claxton are looking to hire a **Workshop Administrator **on a **14 Month Fixed Term Basis**. Based at their facility in Westhill, Aberdeen, the Workshop Administrator will work within the overall Operations Department, the role holder is responsible for day-to-day co-ordination of the Operations functions of Workshop, Maintenance, Project Mobilisations and Demobilisations. To coordinate and organise these functions to ensure the smooth operation of various processes that provide service delivery in the optimum way supporting current & planned projects and promoting a reputation for excellence with Claxton clients & within the Claxton Organisation.

**Duties**
- Co-ordinate the tracking of assets on projects and help plan which assets are allocated to future work scopes. Create, update and on-hire rental orders for assets and third-party equipment.
- Create and issue demobilisation packs when equipment returns from offshore, off-hire equipment once complete, update asset register then scan and file packs. Assist with the controlling of all third-party equipment arriving and returning from offshore.
- Responsible for managing the Maintenance Order system. This includes creating work packs, tracking missing spares, lifting requirements, pressure vessel certification and calibration dates. Once all work is completed and asset is orange tagged then making sure the paperwork is complete, signed and filed correctly.
- Raise purchase requisitions for maintenance orders once approved by the Operations Manager ensuring a copy is attached to the back of the work pack for traceability.
- Responsible for tracking and processing all site related intercompany asset transfers. Ensure the asset transfer system and ERP system are updated regularly to show accurate asset location.
- Work with Operations Supervisor to gather and report offshore utilisation figures on a weekly basis. This includes collating and reporting on offshore, onshore and contractor days worked each month.
- Ensure that the technician hours are booked on a weekly basis.
- Monitor workshop-based training, offshore survivals and offshore medicals expiry dates and inform Training/Competency department for refresher or new training to be arranged as and when required.
- Assist with updating the operations planner with holidays/offshore days/on shore work scopes/training etc and log all accrued leave and annual leave.
- Submit expense reports on behalf of workshop and offshore technicians.
- Interact with staff and contribute new ideas and solutions as part of a continuous improvement process.
- General administration duties including filing, scanning and the maintaining of company records on SharePoint / NAV system.
- Creating the cert packs - electronic. Ensuring all lifting certification is in date (liase with first integrated).

**Requirements**:

- Experienced within a similar role, preferably have a working knowledge of similar equipment.
- Experience with procedures for equipment mobilisation/demobilisation to & from offshore and overseas locations.
- Experience with procedures for equipment preparation and equipment maintenance.
- Experience of business management systems for quality, safety, and environment.
- Experience in writing procedures for activities and implementation of these.
- Ability to prioritise own workloads.
- Strong organisational ability with logical, ordered thought processes.
- Fast-effective problem-solving ability.
- Excellent interpersonal and written communication skills.
- Strong Microsoft Word and Excel skills.
- A friendly and co-operative nature together with a "can do" attitude.
- Employ attention to detail and lead by example.
- Be practically minded and process driven.
- Hold a driving license.
