The Role?
An opportunity has arisen within First Integrated Solutions for an experienced Senior Operations Administrator to join the team on a full time, permanent basis; based in Bridge of Don, Aberdeen.
Responsible for carrying out administrative duties to assist with the day-to-day operations the successful candidate with be a proficient user of Microsoft Office, hold strong administrative skills and ideally have experience in the use of InspHire / SAP / Maximo.
This list does not represent an exhaustive list but indicates the main responsibilities the post holder will be required to undertake:
- Generate planning schedules for Inspection Engineer(s) as required.
- Ensure all relevant 3rd party certification for hire items are scanned in & saved against the equipment on the company database.
- Ensure all hire equipment declaration of conformities are scanned in & saved against the equipment on the company database.
- Assist the workshops with scanning & saving all maintenance records onto the company Intranet system, highlighting any defects that maybe reported to workshop supervisor.
- Assist certification department with the generation of certificates during busy periods of activity or holiday cover.
- Responsible for arranging Business / Offshore Travel arrangements as required
- Assist with any required administrative duties as requested.
- Attend meetings and take minutes where required.
- Assist to create and maintain competence framework.
- Support organisational change where required.
- Assist to report regularly on HR metrics on a weekly (Timesheets), monthly, annual basis.
- Assist with any other duties as and when required.
Your Qualifications & Experience:
Essential :
- Proficient user of Microsoft Office (word, excel, outlook)
- Strong administrative skills
- Previous experience within a similar role
Preferred :
- Previous experience in the use of InspHire
