The role

We are currently recruiting for an Executive Assistant to provide support to two members of our Executive Leadership Team, based in Paddington, West London.

What will you do?
- You will be acting as an ambassador and gatekeeper, displaying impeccable levels of discretion, trust and confidentiality.
- Extensive diary management across multiple time zones
- Travel management, mostly within the UK, between the UK and and Sydney, as and when required.
- Manage the day-to-day schedules of the Head of Build to Rent and General Manager of Building Safety and coordinate arrangements for other team meetings as required.
- Prepare presentations, reports, correspondence, meeting minutes and other forms of documents which can be confidential in nature
- Handle expenses claims and leave arrangements for team members
- Manage all post received
- Organise conferences and in-house and off-site events when required, including sourcing venues, liaison with suppliers and logístical planning
- Liaison with search agencies with respect to team recruitment drives, scheduling meetings at all levels internally and externally, whilst maintaining confidentiality at all times.

You will bring
- Previous EA and team administration experience to senior level
- Strong organisational and problem-solving skills, with demonstrated ability to manage the executives and other team members’ and own time effectively and work to deadlines and prioritise tasks
- Able to communicate effectively with internal and external stakeholders, maintaining absolute discretion and confidentiality
- Excellent interpersonal and communication skills
- Advanced MS Office 365 including Teams, Word, Excel, PowerPoint and Outlook
- Good command of written business language and grammar, high level of numeracy, document presentation and attention to detail
- Strong relationship and people management skills, with the ability to influence others and maintain discretion at all times when dealing with confidential matters
- Strong work ethic and positive, attitude.
- Energetic, ‘can do’ and proactive approach with ability to use own initiative.
- Willingness to learn and develop the role to assist the team with broader administrative tasks.
