**1. GENERAL PURPOSE**
The Human Resources section in Crossroads Caring Scotland is responsible for supporting the organisation’s aims and objectives in providing services to improve the lives of vulnerable people in our communities. Employees are vital to achieving these aims. This role will be an integral part of the team ensuring that the organisation recruits people with the skills and values to meet these aims and that the employee experience allows people to develop and maximise their own potential.
The HR Administrator will support with all matters relating to the employee lifecycle. In addition, they will participate in general administration duties for the organisation. This will be in accordance with policies and procedures of Crossroads Caring Scotland (CCS), Data Protection legislation, health and safety and legislative requirements.
**2.PRINCIPAL DUTIES AND RESPONSIBILITIES**
**2.1 Human Resources**
**2.1.1 Recruitment**
Administration of recruitment from advert to contract issue, specifically:
- Liaising with Managers regarding vacancies, prepare adverts, and recruitment packs for recruitment campaigns under the guidance of the Head of HR
- Respond to requests for recruitment packs, record and log all returns and contacts,
- Prepare shortlisting paperwork for Managers,
- Prepare and issue invite to interview letters, offer letters and contracts.
- Liaise with Recruiting Managers throughout the process, advising and supporting as required, whilst ensuring that the high standards of the organisation are achieved and that safer recruitment requirements are met,
**2.1.2 HR Administration**
- Respond to queries from managers and escalate more complex queries to the Head of HR.
- Monitor and update all HR spreadsheets, information systems and manual files. Maintain statistical information and assist with compilation of reports for the Head of HR,
- Process all starter, change and leaver forms, and issue ID badges as required.
- Administer the exit questionnaire process and log information,
- Administer and maintain training information and where required, assist in preparation for meetings/training/events in line with requirements,
- Assist with arrangements for any disciplinary or grievance meetings,
- Provide general administrative support through typing, photocopying, and scanning documents,
- Provide support to the CEO and Head of HR in correspondence to employees, Service Users and Members,
- Undertake general housekeeping and office supplies,
- Update website and manage the Facebook account,
- Arrange travel and accommodation for employees and Board members as required,
- Deal with incoming mail, logging it and forwarding appropriately,
- Deal with outgoing mail, by logging it and ensuring appropriate postage.
**2.3 Other**
- Undertake training as determined by individual training and development needs, supervision and appraisal sessions and national regulatory requirements. Take responsibility for continuous professional development.
- Participate in support and supervision and appraisal.
- Responsible for own health and safety and that of service users, staff and public. Highlight any areas of concern to line manager.
- Work in a manner which enhances the service’s public profile and foster good relations with statutory and voluntary bodies.
