**Job summary**:
Joint Force Development (JFD) provides the research, analysis, force development, Joint training, education, doctrine, and deployable Joint Command and control that underpins Defence. We combine the think-tank capabilities of the Development Concepts and Doctrine Centre (DCDC), the command and postgraduate training and education of the Defence Academy (Def Ac), and the international reach of the Royal College of Defence Studies (RCDS), the practical force development, military exercise, and delivery of the Joint Expeditionary Force (JEF) facilitated by the Directorate of Joint Warfare (DJW). In isolation, these organisations are well-known and trusted Defence assets. By working together and sharing information they are a force multiplier in maximising the potential they collectively give Defence.

**Job description**:
This role is responsible for supporting the Senior Information Officer with all matters relating to Information Governance, Knowledge and Information Management and Information Assurance within Joint Force Development HLB.

This role is also the Principal Data Protection Advisor (PDPA).

Responsible for ensuring coherent implementation, exploitation, and consistent use of Information Management (IM) tools across the HLB. IM activities will be implemented, co-ordinated and enforced across the Business.

Co-ordinating and supervising JFD progress towards meeting the required maturity models and targets and the embedding of an information culture across the HLB, including Records Management and Information Risk.

**Roles and Responsibilities**
- Information Management_
- Oversee building and recording of SharePoint architecture including SharePoint sites, O365 Groups and MS Teams (in conjunction with the federated iHub approach) with the Info Gov Lead Admin Support (contractor).
- Engage and collaborate with JFD BLBs to develop and exploit Information Management, Knowledge Management and electronic Ways of Working.
- Provide practical guidance and training to users to promote good practices in exploiting systems and technology and to support Knowledge and Information Management working practices.
- Encourage good governance and knowledge management by guiding proper behaviours, identifying, managing, and monitoring staff practices for information storage, access, and dissemination, fostering a strong information culture.
- Assist in preparing JFD for any future technology upgrades, acting as focal point where required for co-ordination and support TLB rollouts.
- Information Assurance / Information Risk / Records Management_
- Update, monitor and communicate Records Management policy across the HLB, including the What to Keep Schedule and any subsequent internal audits to assist in achieving the required maturity level.
- Provide secretariat support to the InfoGAMx working group (quarterly) and lead in the provision of support and guidance to the InfoGAMx and Information Asset Owner (IAO) community.
Oversee the management of the JFD Information Asset Register, ensuring BLB updates every 6 months.
- Data Protection_
- Principal Data Protection Advisor for JFD - progress all Data Protection Impact Assessments through to completion, updating the DPIA Register and liaising with the InfoGAMx Champions to update the Information Asset Register, ensuring annual reviews take place. Provide stats to UK Strategic Command for reporting when requested.
- Assist HLB Security Officer, where necessary, with any Data protection related security breaches. Produce quarterly reports for the Information Risk Management Committee.

- Deputise for SEO Information Governance Team Leader as and when required and assist any ad-hoc tasks.

**Person specification**:
**Essential experience**:

- Experience in SharePoint and O365 administration
- Excellent presentation and communication skills, both verbal and written.
- Strong organisational skills.
- Ability to prioritise, work under pressure and to meet strict deadlines.
- Experience and knowledge of the Data Protection Act - qualification would be advantageous.

**Desirable experience**:

- Data Protection Foundation/Practitioner Qualification
- Microsoft Certified in SharePoint, Teams & O365
- Familiarity with automation and process improvement tools would be an asset, including workflow automation and artificial intelligence tools
