**Job Title**: Administration and Systems Officer

**Contract**: Permanent, Full-time Hours: 38 hours per week to be worked as required within the working operational window of 7am to 6pm, 5 days in 7 days

**Purpose of job**: To manage the IT processes and systems associated with the work of Accommodation Essex and to assist the Systems Manager with the service provision for Accommodation Essex

**Duties of the Post**: Systems and IT associated with the administrative work of Accommodation Essex are co-ordinated by the post-holder in conjunction with the existing Accommodation Support Officer - Systems. Both Officers are also the key point of contact with the University IT department and external software and support providers. The post-holder, in conjunction with the other Accommodation Support Officer - Systems, is also responsible for proposing system amendments to enhance administrative tasks.

Both Officers assist the Systems Manager with any other administrative or systems tasks and with front line customer services as necessary.

**The duties of the post include**:
3. Ensure the accommodation management software produces accurate reports that meet the needs of managers.

4. Ensure standing data is entered accurately onto the accommodation management database and these are maintained and amended year on year.

5. Support the Allocations Team with the allocation of students to rooms and the management of associated correspondence with prospective students. During extremely busy periods, or at the request of the Systems Manager.

6. Assist the Systems Manager with administrative processes of Accommodation Essex as directed.

7. Assist the Systems Manager with configuring and testing all aspects of the accommodation management software.

8. Maintain and audit user permissions and access to the accommodation management software.

9. Assist the Accommodation Advisers with front line services as directed by the Systems Manager.

10. Assist with general correspondence as required.

**Qualifications /Training**

▪ Educated to A level or equivalent - ESSENTIAL

▪ Holds a relevant qualification in IT or systems administration - DESIRABLE

**Experience/Knowledge**

▪ An in-depth understanding of computerised systems and experience of user input and testing during systems development - ESSENTIAL

▪ Experience and proficiency in the use of Microsoft tools including Excel, Word and Outlook - ESSENTIAL

▪ Experience in IT systems management and administration of a large database - ESSENTIAL

▪ Knowledge of housing law and tenancy agreements - DESIRABLE

▪ Experience of working with students in Higher or Further Education, including international students - DESIRABLE

▪ Experience in providing accurate and timely information for use in performance indicators - DESIRABLE

▪ Experience in using database querying languages at a beginner level - DESIRABLE

**Skills/Abilities**

▪ A good level of numeracy and ability to understand data organisation - ESSENTIAL

▪ Excellent organisational skills and attention to detail and accuracy - ESSENTIAL

▪ Excellent team working and the ability to work co-operatively across institutional and functional boundaries - ESSENTIAL

▪ The ability to meet deadlines, to prioritise and manage a number of tasks concurrently - ESSENTIAL

▪ Strong communication skills both written and oral - ESSENTIAL
