Safer Staffing Administrator

To provide comprehensive and pro-active administrative support to ensure the Safer Staffing of Vaccination Clinics including the Roving Model, contributing to the smooth running of the services. Communicating with a broad range of stakeholders and building a strong relationship with our temporary staffing cohort.
To carry out and prioritise Safer staff levels within Vaccination Service.
- Understanding and utilising the E roster system to book staff on an as and when basis.
- Communicating with TWS regarding bookings of bank and Agency staff.
- Managing Annual leave and ensuring that safer staffing levels are maintained. Negotiating shift changes with Staff to ensure safer staffing levels.
- Understanding of a range of work procedures and practices, some of which are non-routine, which require a base level of theoretical knowledge. This is normally acquired through formal training or equivalent experience.
Building a relationship with all stakeholders across the System in Norfolk & Waveney. Developing knowledge of the needs of the service within the Vaccination Programme.
Main Duties & Responsibilities

- Understanding of a range of work procedures and practices, some of which are non-routine, which require a base level of theoretical knowledge. This is normally acquired through formal training or equivalent experience.
- Identifying in advance staff requiring Mandatory training, mentor updates and ensuring they are booked in a timely manner.
- Identify and report areas within working processes and procedures that could improve service delivery.
- Assist Managers in the HR and recruitment process for new starters and prepare relevant paperwork for Managers to authorise changes to current staff’s circumstances. Be point of contact for staff to provide information on Trust’s processes (i.e. HR, Mileage claims and answer general enquiries to assist staff, especially new starters).

To maintain schedules and diaries, which may involve travel to and from other venues. This will include Staffing the clinics at short notice, looking ahead to staff the clinics in advance, ensuring that the most cost effective resource utilised. Understanding the E roster system and liaising with E roster to maintain on going changes to the rota. Identifying in advance potential increase in Staffing unavailability.

To undertake the booking of Annual leave in collaboration with the Clinical Operational Lead. Identify Safe management of the numbers on Annual leave. Liaise with the E roster team to identify increase in Staff unavailability.

To identify Staff who require Mandatory training and to book them in a timely manner to avoid delay in updates.

To liaise with Clinical Operational Lead and Lead Vaccinators regarding staff who require PDR and Clinical Supervision.

To liaise with TWS on a monthly basis to promote and recruit new members of Staff to the bank team.

To implement policies for own work area and propose changes, as necessary and demonstrating required duties to new starters. To monitor and report sickness absence and annual leave.

It is the post holder’s responsibility to ensure that they have undertaken all mandatory training, in line with Trust policies and procedures.
